JOB DESCRIPTION

JOB TITLE Secretary II

REPORTS TO Assigned Supervisor

APPROVED October 27, 2014

JOB SUMMARY

Performs advanced clerical and moderately complex secretarial work, meeting the public and assisting in general administrative duties. Functions are varied, may be technical in nature requiring familiarity with terminology used in specialized work. Work is performed under general direction of the Supervisor.

SUPERVISORY RESPONSIBILITIES

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Types correspondence, reports, forms, minutes from meetings from rough copy, handwritten notes or keyed copy utilizing word processing applications; composes routine letters; checks and proofreads keyed copy
  • Acts as receptionist; makes appointments; screens and routes telephone calls and mail; provides information based upon knowledge of particular unit of operation and familiarity with school system procedures, policies, rules and regulations
  • Prepares moderately complex reports and summaries requiring specialized knowledge; maintains and researches records and files and pools information for use of professional/supervisory personnel
  • Makes arrangements for conferences, prepares schedules and agendas under the supervision of a supervisor, and informs participants as directed
  • Handles routine inquiries and provides information to parents, students, and the general public regarding school policies/procedures, rules and regulations, and other school system related matters
  • Utilizes a computer for word processing, data entry/retrieval and generating reports
  • Possess the ability to prepare payrolls, requisition supplies, process work orders, monitor budgets; may oversee activities of other clerical personnel
  • Performs other related duties as assigned

MINIMUM QUALIFICATIONS

  • EDUCATION AND/OR EXPERIENCE

A high school diploma or GED is required. Secretarial training and successful experience in working with agencies in the same or similar capacity is desirable. Knowledge of reception desk equipment is required. Two years of experience are required; at least one of which should be comparable in duties and responsibilities to those of this position. Ability to deal with the public in different situations in a pleasant, courteous, and helpful manner. Ability to use word processing programs on computer is preferred. Demonstrated ability to type at 50 words per minute is preferred. Ability to be regular and punctual with attendance.

  • LANGUAGE SKILLS

Ability to use excellent business English, grammar, spelling, and punctuation. Ability to utilize good telephone skills.

  • PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit; communicate verbally and electronically; and use hands to finger, handle, or feel objects, tools, or controls; stand; and move throughout the building and/or to other facilities. Occasionally required to reach with hands and arms, stoop, kneel, crouch, and/or crawl. Frequently required to drive. Occasionally required to lift or exert force of up to 20 pounds.

  • WORK ENVIRONMENT

Ability to establish and maintain effective working relationships with others in a fast-paced environment is required.
