The Assistant Manager for the Property Management Task Force plays a vital role in supporting the operational efficiency and effectiveness of the property management team. This role involves working closely with the Property Manager and other team members to ensure the smooth operation of properties under management. The Assistant Manager will be responsible for a wide range of tasks, including administrative duties, tenant relations, property maintenance oversight, and financial management support.

Key Responsibilities:

  1. Administrative Support:

    • Assist in the preparation and distribution of leasing documents, contracts, and notices.
    • Maintain accurate records of tenant information, leases, and property-related documents.
    • Coordinate communication between tenants, property owners, and internal departments.
  2. Tenant Relations:

    • Respond promptly and professionally to tenant inquiries, concerns, and requests.
    • Conduct regular property inspections to ensure tenant satisfaction and compliance with lease agreements.
    • Address tenant complaints and resolve issues in a timely and satisfactory manner.
  3. Property Maintenance Oversight:

    • Coordinate with maintenance staff and vendors to ensure timely and cost-effective completion of repairs and maintenance tasks.
    • Conduct regular inspections of the property to identify maintenance needs and address them promptly.
    • Monitor property cleanliness, landscaping, and other aesthetic factors to maintain curb appeal.
  4. Financial Management Support:

    • Assist in the preparation of budgets and financial reports for assigned properties.
    • Monitor rent collection and delinquency, follow up on outstanding payments, and enforce lease terms as necessary.
    • Process invoices, track expenses, and maintain accurate financial records.
  5. Compliance and Risk Management:

    • Ensure compliance with local, state, and federal regulations governing property management.
    • Assist in the implementation of safety and security measures to protect tenants and property assets.
    • Identify potential risks and liabilities and take proactive measures to mitigate them.

Qualifications:

  • Bachelor's degree in Business Administration, Real Estate, or related field preferred.
  • 2 years of experience in property management or a related field.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in property management software and Microsoft Office Suite.
  • Knowledge of landlord-tenant laws and regulations.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Certification in Property Management (e.g., CAM, CPM) is a plus.
