Under the direction of the CEO, you will be responsible for providing high level comprehensive support to the CEO, Board of Directors, and Senior Leadership Team and managing the organization’s office operations. This position requires the ability to anticipate needs, think critically, be resourceful, and offer solutions to problems with the highest level of professionalism and confidentiality.

You Will:

  • Demonstrate work habits that develop, build, and support the team concept within the organization.
  • Always utilize professional and pleasant customer service skills when servicing and greeting customers, and when collaborating with co-workers and vendors.
  • Works directly with the CEO, senior leadership team, and board to support all aspects of daily work routine.
  • Maintains the senior leadership teams’ calendar, including scheduling meetings, appointments, speaking engagements, and travel. Responsible for exercising discretion in committing time and evaluating needs and priorities. 
  • Serve as a liaison between the CEO, COO, and senior leadership team, AgState staff, board, and the public. This includes receiving and screening phone calls, visitors, answering a variety of questions with tact and diplomacy, taking detailed messages, and directing calls appropriately for resolution.
  • Completes a broad variety of administrative tasks that facilitate the senior leadership team’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff.
  • Provides coordination, monitoring, and communication of projects and programs and assists in project planning, intake, prioritization, initiation, execution, and training, as well as fostering collaboration. 
  • Assists the senior leadership team with the development of presentations and materials for internal and external audiences, expense reporting and reconciliation, credit card approvals, and other various expenditure needs. 
  • Schedules, organizes, and attends AgState Board Meetings as required. Generates meeting minutes, action items, and provides accurate reports. 
  • Assists the senior leadership team with expense reporting and reconciliation, credit card approvals, and other various expenditure needs. 
  • Prioritizes and determines appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
  • Coordinates all Board and Senior Executive Team meetings/retreats and assist as needed. 
  • Function as custodian of corporate documents and records. Preparation of records, agenda, notices, minutes, and resolutions for corporate meetings & Board meetings.
  • Assisting the senior leadership team with dashboard development and maintenance for key performance indicator or KPI tracking.
  • Other duties as assigned.

You Have/Are:

  • Bachelor's degree in Business Administration or related field strong preferred. 
  • Four years of board or work related experience required.
  • Advanced Excel and Microsoft Office Knowledge
  • Highest degree of accountability, integrity, and confidentiality with strong verbal and written communication skills and exceptional organizational skills and high attention to detail. 
  • Ability to work additional hours as needed including evenings and weekends.
  • Valid Driver License.
  • Collaborative approach when working with peers in a multi-location setting.
  • Detailed orientated and excellent organizational skills.
