AEVEX AEROSPACE is Hiring an Office Administrator Near Murrieta, CA

Essential Functions:

  • Provide high-level administrative support by conducting research, handling information requests, and performing the day-to-day administrative tasks, as well as assisting with special projects as assigned
  • Directs incoming calls to the correct department/personnel and takes messages appropriately and correctly
  • Coordinate communications on behalf of onsite Executives as needed
  • Coordinate and monitor all aspects of administrative workflow with minimal supervision
  • Receive and distribute incoming and outcoming mail
  • Prepare internal and external corporate documents for team members and partners using MS Office including Word, Excel, PowerPoint and Outlook
  • Maintain an organized and efficient filing system of paper and electronic documents
  • Organize and run required meetings
  • Manage schedules and calendars for onsite Executives as needed
  • Coordinates company travel arrangements as required
  • Submit and track expense reports
  • Receive visitors and guests thoroughly vet to ensure security protocol has been followed
  • File, copy, scan and edit documents, and coordinate external printing projects
  • Coordinate on facilities matters from time to time
  • Purchase office supplies, office equipment and maintain kitchen inventory
  • Order and manage company lunches and client meetings
  • Performs other related duties as necessary or assigned with special projects as required

Qualifications:

  • Minimum 3 years administrative experience, aviation/airline/FAA background a plus
  • Excellent organizational skills and the ability to multi-task under pressure
  • Ability to handle sensitive/confidential information
  • People focused, exemplary colleague and customer interpersonal satisfaction skills, including dealing effectively with the public in-person, via email, and over the telephone
  • Independent thinking and good judgement
  • Attention to detail
  • Ability to work quickly and proficiently to meet deadlines while maintaining a high level of accuracy
  • Excellent Microsoft Office skills, including Word, Excel, and Outlook
  • Proper English usage, spelling, grammar, and punctuation
  • Great communication that is factual, polite, and professional in nature
  • Accurate typing speed of 40-50 wpm
  • Standard office administrative practices and procedures, including the use of standard office equipment
