Overview

*Salary Range: $42,000-$45,000*

hybrid, Monday-Friday 9-5

The Administrative Coordinator will provide overall administrative support to BH CP program. The Administrative Coordinator is responsible tracking data and information; preparing, coordinating and documenting meetings; managing MassHealth BHCP assignment files, checking eligibility; problem solving claims issues; and providing excellent customer service to internal and external stakeholders.

Responsibilities

  • Answer and direct phone calls in a professional, helpful manner.
  • Coordinate appointments and meetings. Serve as point of contact for meeting communications and assuring the appropriate people participate. Prepare meeting agendas, materials, and minutes.
  • Assist the Executive Director and BH CP Program Director in planning and conducting BHCP provider site visits, LLC Operations group meetings, and other meetings as assigned.
  • Manage MassHealth Community Partners assignment files, enrollment files and refresh files.
  • Understand and adhere to MassHealth regulations.
  • Check eligibility on an ongoing and as needed basis, collaborating with Care Navigator and the Billing Specialist as indicated.
  • Problem solve claims issues in collaboration with the Billing Specialist.
  • Act as liaison between the billing specialist and claims issues and the BHPMW Consortium Entities and Affiliated Partner.
  • Help resolve claims issues by gathering, verifying and providing additional information as required and following up until reimbursements are received.
  • Identify and help problem solve when a member loses eligibility.
  • Purchase and maintain office supplies for program.
  • Provide Coverage for duties assigned to Project Coordinator when needed.
  • Strictly adhere to HIPAA and confidentiality policies, including when responding to inquiries for Enrollee information
  • Attend and actively participate in supervision and staff meetings.
  • Attend professional development activities and all trainings as assigned; maintain necessary certifications.
  • Strictly adhere to all HIPAA regulations and maintain confidentiality at all times, including inquiries for Enrollees information.
  • Ensure that individuals are treated with dignity and respect in accordance with BHPMW Human Rights Policy.
  • Perform all duties in accordance with the agency’s policies and procedures.

Qualifications

  • Associate's degree or higher or one to two years related experience.
  • Must be able to perform each essential duty satisfactorily.
  • Strongly prefer that a candidate will have a demonstrated understanding of and competence in serving culturally diverse populations.
  • Excellent verbal and written communications skills.
  • Strong interpersonal, follow-through and customer relations skills required.
  • Proficiency in Microsoft Office Suite, with an emphasis on Word and Excel.
  • Ability to learn new systems; experience entering and working with data; and comfort and experience using mobile technologies.
  • Must have exceptional organizational skills and ability to multitask in busy environment.
