Schedule: Part Time - Days

Shift: M-F: 7-5 pm and min. 28 hours a week

The role you’ll contribute:

The Administrative Specialist and Medical Records Coordinator under the direct supervision of the Operations Manager of Executive Health Program & Lifestyle Clinic is responsible for performing various administrative duties and medical records function. The function includes complex duties including but not limited to responsible for proactive email communication with existing and prospect patients regarding scheduling/Rescheduling/promoting communication, managing patient final reports process, medical records retention, manage chart system for new and existing patients, ancillary data tracking and administrative duties for Executive Health Program. He or she maintains all relationships with processing, obtaining, and compiling medical records. Utilizes all processes learned to assist in the management of the clinic. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships both internal team and patients that are equally respectful to all.

  • Oversees daily Executive Health shared inboxes and responding to patient’s emails in a timely manner; schedule/reschedule/cancel appointments and updated workflow accordingly in EPIC and MS Outlook.
  • Perform Monthly email campaign to existing clients and prospects from FormStack leads to schedule appointment. Maintain & updated Master Eligibility list with accurate data. Assist with any special email promotion launch to help increase the appointment volume.
  • Manages and updates database for EHP and Biometric on Excel Tracking forms and able to produce reports when requested.
  • Manage and assemble the patient’s final report from start to finish; work closely with clinicians to gather necessary sub reports to compile the final reports; follow strict and detailed process of double checking, editing, and finalizing the reports to ensure quality final report is produced and mailed to patients; document status on the business tracking report
  • Maintains and track Hemoccult kit mail out on a weekly basis; send Hemoccult kit 3-4 weeks in advance to patients who are scheduled for the assessment. Create Hemoccult kit for the clinic monthly. Check postal mail each day and distribute
Qualifications


Minimum qualifications
:

  • 2-year associate degree OR
  • Minimum of three years’ office/customer service/ secretarial experiencePreferred qualifications:
  • Medical office experience and medical terminology
  • Editing/Proof reading
  • 4 years college. Business Administration or Health Services Administration – B.S. degree preferred
