JOB SUMMARY

The Incumbent will serve as the liaison between our surgery center, patient and referring physician's office, ensuring the surgical experience for both patient and outside physician office is as smooth and efficient as possible. This position requires strong attention to detail and strong verbal communication by phone.

Bilingual PREFERRED, but not a requirement.

DUTIES AND RESPONSIBILITIES

Under general supervision, answers incoming calls and meets caller’s needs by scheduling, canceling or rescheduling appointments for assigned Clinics or Services using call center, electronic health record and departmental technology. Answers inquiries and questions, trouble shoots basic issues and provides information.

  • Communicate with the referring physician’s office to coordinate time/date of surgical procedure, including any changes as they occur.
  • Obtaining and verifying all pre-operative testing, medical clearance, consents, and all other patient documentation has been received.
  • Enters patient information into EMR and prepares patient EMR chart prior to surgery date.
  • Maintaining surgery schedule, reviewing schedule to adjust as needed for maximum efficiency, coordinates with nursing team on schedule changes and adjustments, notifies patient of any changes to schedule, arrange patient transportation when needed.
  • Greeting and checking in patients, promoting a professional and welcoming atmosphere that enhances the quality of service and care offered to our patients.
  • Answer phone calls, direct calls to the appropriate department, provide accurate information and take detailed messages.
  • Maintains accuracy in tasks despite frequent interruptions, function effectively in a faced-paced environment, use sound judgment regarding problem identification and resolution.

Qualifications


REQUIREMENTS

  • High school diploma or equivalent.
  • 2 years of Medical Office experience
  • Medical terminology knowledge required.
  • Medical scheduling experience required.
  • Customer service experience required.
  • Understanding of HIPAA regulations.
  • Excellent organizational skills, problem solving skills and the ability to multi-task while prioritizing tasks.
  • Excellent verbal and written communication skills. Excellent phone etiquette.
  • Have a friendly and welcoming disposition with patients, physician and co-workers.
  • Experience with insurance verifications, eligibility and pre-authorizations highly preferred.
  • Computer savvy including MS Office, and Excel.
  • EMR experience preferred.

ABILITY TO:

  • Schedule, cancel and reschedule appointments for patients/callers following standard work and departmental policies and procedures.
  • Obtain and accurately capture demographic information and patient’s health insurance information provided by the patient or caller.
  • Complete multiple types of patient registrations in a professional, accurate, customer-oriented and timely manner while following departmental policies and procedures.
