JOB PURPOSE SUMMARY To perform a variety of secretarial, clerical and administrative duties in support of the operation of the school and in support of the principal, staff, students and parents.
SUMMER SCHOOL POSITION DATES Important Dates: - Approximately 40 hours of work between date of hire and June 4th to hire and plan for the summer school program and attend training dates TBD.
- Student Start Date: Tuesday, June 4
- Student End Date: Thursday, June 27
- Mondays through Thursdays
- Elementary from 8:00-12:00
- Secondary from 8:45-12:45
- No School: June 19 (paid)
- Celebration of Learning for Students and Families: Thursday, June 27 during summer school hours hosted at each site
REQUIREMENTS Education Level Details High School Diploma or GED
Specialized courses in secretarial skills, business, bookkeeping, accounting, office management and computers.
License / Certification Required Valid driver's license Preferred
First Aid and CPR Certification
Work Experience Required At least two years of experience in office management
Two years of school office experience preferred
Other Skills and Abilities Required Demonstrated broad knowledge of major educational business office equipment
Ability to use personal computer and software to develop spreadsheets, and word processing
Ability to meet established deadlines
Strong communication skills, both orally and written
Ability to interact with top level officials and all staff with tact, courtesy and diplomacy
Ability to follow complex oral and written instructions
Effective communication and interpersonal skills
Bilingual Preferred
KEY FUNCTIONS, ESSENTIAL DUTIES AND RESPONSIBILITIES General ? Answer phones, take and route messages and respond to inquiries directed to the Principal or
school office.
? Greet parents, students, staff and visitors and direct them as needed.
? Compose, type and/or edit letters, memorandums, spreadsheets, reports and/or other written correspondence.
? Act as a liaison between Principal and others by responding to, advising, or making
recommendations for and directing parents, students and staff regarding policies, procedures and confidential and/or sensitive issues.
? Monitor and coordinate incoming information and problems. Often requires problem solving and decision making in the absence of the Principal
? Coordinate and/or complete special projects and/or functions as assigned.
? Sort and screen mail and memos for the Principal and staff as needed.
Records and Fiscal Management
Administer minor first aid to sick and injured students and staff.
? Prepare accident and medication incident reports and contact parents or guardians in accordance
with established health office policy.
? Maintain current health and immunization records ensuring immunization compliance. Maintain all
health-related records including screenings, office visits, athletic physicals, and Medicaid billing.
? Support staff to meet the health and safety needs of all students and implement all components of
student health care plans.
? Administer medication to students according to District and state guidelines. Maintain records and
counts on medication distributed.
? Set up vision/hearing/dental screenings and notify parents. Assist with all screenings.
? Communicate health needs of students to appropriate staff as necessary, while preserving the
confidentiality and dignity of all students.
? Make referrals to the school nurse as needed and follow the clinical direction of the school nurse
(under the supervision of the Principal).
? Follow mandatory reporting requirements for cases of suspected child abuse.
? Maintain school/student files, records and database(s).
? Manages school financial transactions, including managing budgets and accounts, collecting student
fees and fines, reporting financial data, preparing invoices for payment, processing and monitoring
purchase orders, reconciling purchasing cards, etc.
? Monitor, prepare and submit time and attendance staff leaves.
? Assess inventory and re-stock clinic supplies.
Other ? Assist in the campus office as needed.
? Participates in training sessions, faculty meetings, and special events, as required.
? Maintain confidentiality.
? Follow district safety protocols and emergency procedures.
? Perform other job-related duties as assigned by the campus principal or designee

Location: Work is performed in classrooms, offices, work stations and meeting rooms. May work
prolonged or irregular hours and must be able to maintain control under stress. The position requires travel to various campuses, district meeting sites and conferences/meetings in and out of state. The position may require the employee to work some evenings and weekends.
