Acruva Capital Partners is Hiring an Executive Assistant/Office Manager Near Deerfield, FL

ACRUVA Community Developers is seeking highly qualified candidates for the position of Office Manager / Executive Administrative Assistant reporting to the President. This is a senior level administrative support position to provide a full range of complex and confidential administrative and secretarial services to executive management. Within company policies and procedures, this employee is expected to be detailed oriented and to exercise a high degree of initiative and independent judgment in prioritizing and executing administrative work relating to the daily operations of the company.

Requirements

  • Provide executive-level support to the President which would include but not be limited to writing letters, memoranda, newsletters, and notices independently as directed, scheduling appointments, and meetings, and maintaining calendars and ensuring document and electronic meeting connections for the President’s meetings are always pre-arranged and ready.
  • Manage and book travel arrangements for the President and other traveling staff to ensure budget compliance and other specific meeting requirements for each trip.
  • Monitor regional and national conferences and tradeshows for attendance or involvement by the President. Provide weekly invoices for services generated by outside vendors to the ACRUVA Development Coordinator each week. Prepare agendas, take minutes of business and development meetings, and organize notes of discussion into summarized statements that are sent after each meeting.
  • Screen visitors and telephone calls to determine the nature of business and inquiry and respond to inquiries as applicable.
  • Maintain a variety of office files, records, and statistical data, including confidential material, order office supplies when needed,
  • Process weekly invoices and maintain QuickBooks account up to date. Provide weekly reports to the President weekly/monthly/quarterly.
  • Handle and secure confidential information and release information to authorized parties.
  • Support and assist with the preparation of RFQ/RFP packets and related application items and research, compile, and organize information necessary for the completion of RFQ/RFPs.
  • Perform routine clerical tasks such as filing, duplicating, photocopying, and assembling bulk mailing and perform related work and ad hoc projects, as assigned/required. Qualifications:
  • Communicate effectively and professionally, both orally and in writing with government agencies, diverse and multicultural clients, other staff, and the public.
  • Work collaboratively and establish and maintain effective working relationships with others. Use tact, discretion, and prudence in dealing with those contacted in the course of work and independently analyze situations and take appropriate action within established guidelines.
  • Embrace punctuality with a daily sense of urgency to ensure work product is produced at the highest professional level, and on time as required.
  • Meet multiple deadlines under pressure, record information and prepare correspondence and reports and type a minimum of 60 wpm.
  • Seeks opportunities to grow personally and professionally.

KNOWLEDGE OF:

  • Significant experience and practices in supporting one or more executive managers.
  • Modern office practices and procedures and proficient skills utilizing Microsoft Office Products (i.e., Outlook, Word, Excel, PowerPoint, etc.), preferably including SmartSheet; Adobe, QuickBooks, and .
  • Proper English usage including grammar, spelling, punctuation, filing systems, and vocabulary covering common administrative terminology.
  • Fluent in Spanish, notary license, and general knowledge of the company's mission and the population it serves is highly desirable.
  • Principles and practices of good customer service and supportive listening.

EDUCATION/EXPERIENCE Any combination of training and experience that would provide the required knowledge, skills, and abilities as qualifying. A typical way to obtain the required qualifications would be equivalent to four years of substantial, increasingly responsible administrative support experience, which includes exercising initiative and independent judgment within broad parameters of legal, policy, and procedural guidelines. The omission of specific duties does not exclude them from the position if the work is similar or related to the job classification.
