Summary:
The Director of Research Administration will lead the Research Administration function, which is responsible for managing pre-award and post award activities for AAHI’s sponsored research awards. This is a key role that works across the organization to support Principal Investigators (PI’s), Project Managers (PM’s), Finance, and Legal. This position will also supervise a small number of staff and report to the Chief Financial and Operating Officer.
Responsibilities:
  • Own proposal and new opportunity management.
  • Identify and pursue opportunities for external funding that support the institute’s research priorities
  • Review new funding opportunities and/or terms and conditions of other awarding mechanisms and highlight key compliance requirements.
  • Drive and coordinate the proposal process for sponsored research, working in close partnership with Principal Investigators (PI), project managers (PM), and other functional departments as needed.
  • Assist PIs and PMs in the development and submission of accurate proposal budgets and compliant proposal materials by interpreting sponsor guidelines, organizational policies, and federal regulations (when applicable).
  • Track the status of proposals and communicate with funding agencies regarding the review and award process; keep an up-to-date and accessible list of proposals and their status.
  • Identify any required cost sharing or other proposal requirements.
  • Ensure that all required proposal documentation for subrecipients is complete prior to submission of proposal.
  • Post award financial and administrative management.
  • Monitor expenditures, provide reforecasts, and provide guidance to scientists so all grant funds are used in accordance with approved budget.
  • Review and approve invoices and billings to funding agencies on a timely basis as required by regulation or contractual agreement in coordination with departments.
  • Prepare and submit required reports to funding agencies, such as progress reports, financial reports, and final reports in coordination with PIs and PMs.
  • Review and approve payment and management of subrecipient awards.
  • Monitor awards made to subrecipients, payment & management of subrecipient awards, effort reporting, etc.
  • Provide oversight regarding all financial compliance and interpret policies regarding allowable costs.
  • Works with Finance regarding Federal Single Audit compliance and other matters.
  • Ensure timely and appropriate closeout of sponsored projects per sponsor requirements

Requirements:
  • Ten (10) years’ experience in medical research at academic institution, non-profit organization, clinical research site, or pharmaceutical/biotech organization.
  • Five (5) years of experience in federal research award management (preferably research awards with NIH, NIAID, DoD, etc).
  • Five (5) years of experience in managing FAR based contracts.
  • Previous experience managing a person(s) or team.
  • Proven track record of success in grant and contract development with the Federal Government.
  • Experience with OMB A133 audits and federally negotiated indirect cost rate proposals strongly preferred.
  • Understand and be able to successfully work with the Legal Department and contracting officer to apply federal regulations to contract negotiations and management.
  • Understand and be able to successfully apply budget management to contracts.
  • Able to communicate complex information to all levels of the organization in a way the audience can understand.
  • Ability to quickly learn changing technologies related to grants and contracts management.
  • Experience with grants and contracts systems; require solid working knowledge of MS Office Suite (Word, Access, Excel, Power Point).
  • Ability to clearly communicate both verbally and in writing with all levels of the organization.
  • Ability to manage and prioritize multiple projects/tasks.
