General Description
The Grants Officer will be a critical member of the Grants Department Team, reporting directly to the Grants Director. They will serve as the alternate grant administrator. The Grants Officer works across all program areas, including collaborating with finance and program directors to ensure effective and efficient grant making processes. The Grants Officer will serve as the team lead and primary contact for sub‐grantees.
Responsibilities & Duties
Assist with maintaining working knowledge of AST programs and priority funding areas and remain abreast of current research, activities, and trends in the philanthropic sector.
Assist with the AST grants management database.
Assist with monitoring grants for legal, financial, and program compliance including but not limited to ensuring that grant requirements are correctly documented in the grant files and database.
Assist with monitoring and document the grant making workflow processes, forms, templates, reports and data to assure full compliance with internal controls and legal requirements.
Generate reports and data analysis for program and finance team or board.
Problem-solve complex grant scenario.
Assist Grants Director, Partner with Director of Programs and Finance Department to ensure accurate and adequate paper and electronic document retention.
Assist with the revision and submission programmatic reports, budget modifications and standard federal forms.
Assist with the revision and submission of local, state, and federal funding opportunities.
Manage implementation of a new grants management system and other technology improvements, including development plans and timelines, staff communication, testing and troubleshooting, documentation, training, and release cycles.
Administer the current and future grant making database system, including managing data hierarchy, data quality, data retrieval, coding and reporting, particularly with respect to compliance, and monitoring, evaluation, and learning.
Ensure all staff are aware and knowledgeable of grants management processes and technology to the degree their functions require. This includes designing dashboards and training staff of all departments formally and informally.
Implement and maintain protocols for testing and reconciling data accuracy, and making timely and accurate database changes.
Manage system upgrades, troubleshooting, and roll-out of updates including staff notifications and training.
Assist with the developing of training materials and standard operating procedures. Maintain electronic manuals and update program section of policy and procedures manual. Document system procedure changes and trains users on any updates.
Assist with improving the way staff capture, access, and use grant making information to enhance programmatic and operational decision-making, produce accurate reports of grant making results, enhance grantee/grant seeker relationships, and enable learning; enhance supporting systems and tools.
Project management experience, particularly with large scale projects
Data management experience, familiarity with data systems and business processes
Financial or business analysis skills
Experience managing large scale projects
Well-developed facilitation and teaching skills
Exceptional communication skills
Natural curiosity for problem solving
Proficiency in Microsoft Office Suite, especially with Excel
Experience with complex database systems, experience with AmpliFund.
Ability to multitask and work independently and collaboratively to meet weekly, monthly, and quarterly deadlines
Professional, flexible, and a can-do attitude.
Demonstrate excellent writing ability.
Ability to communicate effectively verbally and in writing with individuals and groups, including occasional public speaking.
Ability to conduct effective public relations.
Ability to read, analyze, and interpret general services contracts or governmental regulations.
Ability to use arithmetic skills normally applied in this position.
Ability to compute rates, ratios, and percentages.
Create and interpret presentation charts.
Sufficient capability in cognitive reasoning to perform complex transactions with a high degree of accuracy.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, or diagram form.
Ability to solve problems and resolve conflicts effectively.

Qualifications
Education and Qualifications
Bachelor’s Degree in English, Journalism, Political Science, Public Administration or Business Administration required.
Master’s Degree Preferred.
A minimum of 5 years of experience of technical writing, budgeting and computer skills.
Demonstrated competence in successful grant writing or other successful writing and an understanding of technical and financial requirements for large grants.
Demonstrated experience with Grants.gov and grant management software.
Demonstrated experience in the management of grants after receipt, both related to completion of deliverables and maintenance of budgets.
Effective oral and written communication skills.
Must have a valid Oklahoma Driver’s License.
Must be able to pass a background check.
Working Conditions Physical Requirements
