Responsibilities:

  • Calendar & Scheduling: Proactively manage the President's calendar, ensuring optimal time allocation and avoiding scheduling conflicts.
  • Meeting Management: Prepare and distribute meeting agendas, minutes, and relevant documents to facilitate effective communication.
  • Communication Hub: Act as the first point of contact for incoming and outgoing correspondence, including but not limited to phone calls, emails, and mail.
  • Client Relations: Address customer inquiries and resolve issues, maintaining the highest level of customer satisfaction.
  • Data & File Management: Keep both digital and physical files meticulously organized for easy retrieval and auditing.
  • Presentation Prep: Coordinate and assemble materials for high-impact presentations and meetings.
  • Research & Reporting: Conduct targeted research and compile data to support executive decision-making.
  • Document Quality Control: Proofread and edit documents to ensure accuracy and clarity
  • Resource Management: Oversee office supplies, placing orders as needed to maintain optimal inventory levels.
  • Office Upkeep: Maintain a clean and organized workspace and assist with basic office upkeep to ensure a welcoming workspace
  • Opening/Closing: Setting up office for daily operations and securing it at the end of every work day

Requirements:

  • Experience: Proven track record as an Executive Assistant or similar role.
  • Organizational Skills: Exceptional ability to manage time and multitask efficiently, prioritizing tasks and meeting tight deadlines.
  • Detail-Oriented: Strong focus on accuracy and attention to detail.
  • Proactive: Exhibits a strong sense of urgency when dealing with tasks, balancing speed with accuracy in a a dynamic work environment
  • Problem Solver: Ability to anticipate, identify, analyze and effectively solve problems in a timely and efficient matter
  • Adaptability: Ability to adjust to new responsibilities and shifting organizational needs
  • Software Flexibility: The ideal candidate will be well-versed and flexible with multiple software applications, including but not limited to Google Workspace (Gmail, Docs, Sheets, etc.), social media platforms like Facebook and Instagram, and task/project management software
  • Communication: Excellent written and verbal communication skills
  • Confidentiality: Ability to handle sensitive information with the utmost discretion
  • Office Procedures: Familiarity with standard office procedures and phone systems
  • Professionalism: Maintain a professional demeanor and deliver excellent customer service at all times
  • Real Estate Experience: While not a requirement, experience in the real estate sector is highly desirable

Pay: $49,500.00 - $64,900.00 per year
