Job Title: Project Management Coordinator, Jr. (JP9907)Location: Thousand Oaks, CAEmployment Type: ContractDuration: 12 months with likely extensionsJob posting date: 3/3/2022Note: Remote until COVID-19 restrictions are lifted.3 Key Consulting is hiring a Project Management Coordinator-Remote for a consulting engagement with our direct client, a leading global bio-pharmaceutical company.Job Summary:
  • Support project management activities.
  • This role will work both independently and in a team environment.
  • He/she is primarily responsible for the management of controlled documentation but will also be responsible for any number of other assigned operational activities.
  • This role will be primarily responsible to coordinate and maintain complex operational and compliance-critical administrative support activities, which may include preparing for and processing workflows for controlled documents (eg, Standard Operating Procedures SOPs)) in the electronic management system, overseeing completion of those workflows, manage release and control of updates to documents, tracking status and performing follow-up activities at a future date (eg, completing final workflow activities 1 day – 6 weeks later).
  • This role will follow step-by-step instructions and must perform repetitive functions consistently and accurately.
  • He/she may act as a department representative to communicate and educate clients on R&D document processes, answer general questions, troubleshoot problems, and complaint resolution.
  • This role will also run data searches and clean, format, and organize resulting data in Excel.
    This role will also provide QC checks and editing of controlled documents/reports/forms (eg, formatting, grammar, editing) against R&D templates and style guide giving consideration to usability and ensuring accuracy, consistency and quality.
  • Should be organized, reliable, and respond promptly to requests.
  • Perform tasks independently with minimal supervision, in addition to working on teams to accomplish tasks.
  • Coordination with the project team and project manager is essential
Top Must have Skill Sets:
  • Must be extremely organized, reliable, and flexible
  • Must have strong attention to detail, including the ability to QC and proofread documents
  • Must be to manage multiple activities and priorities with minimal direction in a rapidly changing and demanding environment
  • Project management 3 years of experience
  • Operations, document management system and coordinator experience
  • Preferred skill: SharePoint
Day-To-Day Responsibilities:
Role will receive training on R&D approach to controlled documentation, electronic document management system, Quality processes, and controlled documentation templates and style guide.Day to day responsibilities will vary, but will include a combination of the following:
  • act as document coordinator to manage regulated controlled documents within electronic repository
  • perform operational activities such as running, cleaning, formatting, organizing data searches (Excel), SharePoint and other electronic system/repository management and maintenance, running reports, and more
  • with time and training, may contribute to and/or "lead" departmental "projects".
  • work independently to QC/revise SOPs and other controlled documents according to template/style guide
