JOB PURPOSE:

Manage accounts payable and accounts receivable and coordinate with the bookkeepers if applicable. Ensure books are balanced, and tax obligations are covered.

QUALIFICATIONS:

  • Bachelor’s degree in Accounting, Finance, or business-related field from an accredited institution.
  • A minimum of 3 years of relevant accounting or finance experience including.
  • 2 years in reconciling bank accounts, using excel, QuickBooks, accruals entries, and financial data needed for month/year-end reports.
  • Robust understanding of accounting principles and financial reporting and regulations.
  • Proficiency in Accounting Software and Microsoft Excel.
  • Experience with financial reporting requirements is preferred.
  • Strong analytical and problem solving abilities.
  • Exceptional attention to detail and accuracy in financial reporting.
  • Ability to work collaboratively in a team environment.

ESSENTIAL FUNCTIONS:

  • Manage accounts payable and receivable.
  • Supervise daily operation of Business Department, which includes general accounting, A/P, A/R, payroll, inventory, taxes, and reporting
  • Present financial information to administration by tracking and analyzing accounting data; preparing reports.
  • Compile and analyze account information.
  • Record financial transactions by entering account information.
  • Recommend financial actions by analyzing accounting options.
  • Ensure the accuracy of entries to ledger accounts and reconciles subsidiary ledger accounts to the general ledger.
  • Prepare balance sheets, profit, and loss statements, and other financial analyses of current costs, revenues financial commitments, and obligations incurred to predict future revenues and expenses.
  • Prepare and review financial statements and reports on a monthly, quarterly, and annual basis.
  • Track payments to internal and external stakeholders.
  • Assist in collecting, tracking, and correcting the company’s finances.
  • Create and present financial recommendations to Executive Director.
  • Oversee cash flow, cash management, working capital, and company audits.
  • Ensure legal compliance on all financial functions, such as but not limited to compliance, reporting, registrations, and annual renewals.
  • Coordinate and oversee all internal and external audits.
  • Manage all tax planning and compliance with all required federal, state, local, payroll, property, and other applicable taxes.
  • Assist in Developing and maintaining all necessary accounting policies and systems, including general ledger and financial reporting.
  • Oversee and maintain client accounts in their respective software platforms
  • Review all invoices for appropriate documentation and contract approvals.
  • Maintain, negotiate, and file vendor contracts
  • Print and obtain signatures and distribute payable checks
  • Maintain all accounts payable reports, spreadsheets, and corporate accounts payable files
  • Prepare an analysis of budget and projection numbers
  • Verify monthly financials and ensure everything is processed by the proper accounting period
  • Direct all aspects of the accounting operations, and oversee all transactions related to the general ledger, receivables, payables, payroll, collections, billing, and financial reporting.
  • Perform tasks associated with month-end and year-end close of income statement and balance sheet, account reconciliations, and G/L analysis
  • Oversee budgeting, financial forecasting, and cash flow processes.
  • Reconcile business credit cards, accounts payable, and receivable.
  • Perform general HR processes as it pertains to organizations' finances and payroll.
  • Perform HR-related tasks such as but not limited to Onboarding and Offboarding.
  • Monitor accounts for non-payment and delayed payment
  • Maintain files and reporting information for all funds, including grants
  • Responsible for all aspects of grant accounting including proper coding of
  • Prepare reimbursement packages.
  • Analyze business or financial data and verify the accuracy of records.
  • Prepare to adjust journal entries.
  • Review accounts for discrepancies and reconciles differences.
  • Prepare, analyze, or verify annual reports, financial statements, and other records, using accepted accounting and statistical procedures to assess financial conditions and facilitate financial planning.
  • Process invoices for payment.
  • Run errands on behalf of the business office such as but not limited to, banks, deliver mail and shipments to post office, and buy necessary supplies as instructed.

  • Advanced in QuickBooks to quantify and illustrate routine financial reports, statements, and/or projections.
  • Advanced in Microsoft Office, Excel in particular

KNOWLEDGE:

  • Knowledge of administrative and office procedures and systems such as word processing, managing files and records, transcription, designing forms, and workplace terminology.
  • Analyzing financial data, revenue, and expenditure trends. Ensuring expenditure control and recommending appropriate budget levels.
  • Knowledge of Federal, State, and local laws, rules, regulations, and Federal and State funds-grant accounting and ability to ensure compliance.
  • Understanding of the grant requirements and preparing reimbursement packages.
  • Demonstrated integrity and ethical behavior in financial reporting and dealings.
