CLASSIFICATION TITLE: PARTS MANAGER

PURPOSE OF CLASSIFICATION

The purpose of this classification is to manage the inventory of automobile parts and supplies for the Fleet Maintenance Division.

ESSENTIAL FUNCTIONS

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Organizes and implements purchasing operations for the department; ensures the County obtains parts and supplies which are high in quality, meet organizational needs, and at the best price. Processes orders for parts and supplies; discusses product or service requirements, including make and model of vehicles, etc. with requesting mechanic; researches supply sources, secures price quotes and places orders with vendors; retrieves parts and supplies from vendors; transports and delivers parts and supplies to requesting mechanic. Prepares necessary documentation for purchasing activities; maintains and updates records and files. Places and receives delivery of orders for a variety of supplies and equipment; prepares and submits purchase orders; forwards invoices; verifies accuracy and completeness of incoming orders; identifies incorrect or damaged items; unpacks and stores incoming supplies; communicates with vendors regarding status of orders, discrepancies, or problem resolution; distributes supplies and equipment to requesting mechanic; maintains computer files and documentation for all purchases. Monitors inventory levels of supplies and equipment; maintains adequate levels of supplies to ensure availability; completes inventory reports and maintains related files. Prepares or completes various forms, reports, work orders, inventory sheets, cost estimates and comparisons, time sheets, invoices, or other documentation of service activities; forwards, retains, or files, as appropriate. Receives various forms, reports, work orders, equipment specifications, invoices, manuals, catalogs, reference materials, or other documentation; reviews, processes, forwards or retains as appropriate. Communicates with supervisor, County employees, vendors, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems. Maintains current knowledge of supply sources and product developments. Operates an automobile, personal computer, general office equipment or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.

ADDITIONAL FUNCTIONS

Performs other related duties as required.

MINIMUM QUALIFICATIONS

High school diploma or GED; three year(s) of experience in with purchasing automobile parts and equipment; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Must possess and maintain a valid Georgia driver’s license.

Equipment, Machinery, Tools, and Materials Utilization : Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.

Verbal Aptitude : Requires the ability to utilize a wide variety of reference and descriptive data and information.

Mathematical Aptitude : Requires the ability to perform addition, subtraction, multiplication, and division. May include counting, recording of counts, and basic measuring.

Functional Reasoning : Requires the ability to apply principles of rational systems; to interpret instructions furnished in written, oral, diagrammatic, or schedule form; and to exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.

Situational Reasoning : Requires the ability to exercise judgment, decisiveness and creativity in situations involving evaluation of information against measurable or verifiable criteria.

ADA COMPLIANCE

Physical Ability : Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements : Some tasks require the ability to perceive and discriminate colors or shades of colors, depth, texture, and visual cues or signals. Some tasks require the ability to communicate orally.

Environmental Factors : Essential functions are regularly performed without exposure to adverse environmental conditions.
