Title: Administrative Operations Manager

Responsibilities: Performs tasks. Provides direction for all administrative activities; including compliance, accounts payable, reporting, regional IT, fleet, and facilities management. Works closely with all management team members and others to ensure that his/her responsibilities are effectively and consistently discharged.

Responsible for building the capability of the regional administration team, managing work effectively and creating a cohesive support team for all regional business activities.

  • Perform regional administrative tasks
  • Actively engage as a member of the regional Leadership Team to develop aggressive targets and build team excitement for attaining those targets
  • Coach, lead, and develop direct reports to meet team goals
  • Evaluate and optimize effectiveness of plans and resources

People:

  • Oversee regional compliance, IT, fleet, and administrative team.
  • Daily planning with direct reports. Review dashboards, set expectations, measure effectiveness.
  • Coach team through continuous improvement activities that lead us toward goals/targets.
  • Regularly travel to work alongside leadership team to coach, be coached, lead and develop each other to meet individual and team goals.
  • Ensure compliance communication and activities are effectively communicated and executed.
  • Communicate company initiatives/activities to the region.
  • Conduct and join team meetings.

Processes:

  • Manage all administrative activities to meet/exceed compliance and financial expectations.
  • Compliance function, including but not limited to:
    • Resolve and act on any compliance or elderly justice act activities timely.
    • Gatekeeper for all State CMS Licensing (retained on file)
    • Assist the Directors of Operations in ensuring all sites are prepared for inspections and that all documents are current and relevant to the specific service line.
    • Assists in crafting and maintaining State Inspection responses.
    • Maintain Machine Registrations and Business Licensure.
    • Maintain current licensure/credentials for regional team.
  • Administrative functions, including but not limited to:
    • Accounts Payable: process invoices, expense reports, check requests as needed.
    • Prepare and deliver reports.
    • Assist GM in the preparation of regional performance presentations.
    • Document and evaluate OpEx budgeting performance. Identify variance from expected performance, take action to implement improvement and share best practices.
    • Coordinate Regional Operations and/or Sales meetings, including travel, lodging, meal and entertainment (if applicable).
    • Send out Insurance Liability Forms, W9s, BAAs and other documents as requested.
  • Safeguard Data integrity. Maintain company records by using the designated systems.
  • Resolve customer concerns appropriately.
    • Assist in collection of information from customers (e.g. DSLs, health protocols, etc.)
  • Prepare and maintain a variety of spreadsheets/reports seek out and attack anomalies.
  • Buildings, Equipment, Technology:
  • Maintain and negotiate building leases and utilities.
  • Maintain and manage the regional office expense budget.
  • Schedule and maintain all services required for the maintenance and operation of regional offices.
  • Oversee quarterly site security for all physical locations and maintain clean and orderly workspaces.
  • CapEx preparation and submission for approval.
  • Responsible for the distribution and shipment of mail and supplies to the field.

Other:

  • Oversee and participate in Safety Committee meetings.
  • Continuously improve our standard work procedures.
  • Participate in company sponsored projects.
  • Other duties, as may be assigned.

  • 24/7/365 availability, as needed. We are a mobile healthcare organization. Patient care never sleeps. We have systems and teams in place but we must be certain that we always have coverage and be willing to be called on whenever our patients need us most.

Skills / Experience:

  • Demonstrated ability to lead and develop high performing team.
  • Business Associates Degree (B.A.) or equivalent from a four-year college or technical school, plus two (2) years management experience, preferably in administration.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Financial acumen is required with prior P&L responsibility preferred.
  • Ability to read profit and loss statements as well as other financial metrics used for measuring the health of the business.
  • Ability to communicate effectively throughout value-stream; including possibly Directors of Nursing, Administrators, patients/families, potential clients, industry associations, vendors, radiologists, all internal depts/teams, etc.
  • Must have strong interpersonal skills and the ability to manage a variety of experience levels in unrelated departments.
  • Must be a self-starter with strong time management skills and the ability to prioritize.
  • Advanced computer skills:
    • Microsoft Excel - At minimum be able to create and analyze large data sets
    • Microsoft Outlook, Word, Teams
    • Internet, intranet, and savviness to learn various software
    • Mobile device management, apps
    • Understand how database functions
    • HRIS
  • Resourceful with strong analytical, critical thinking, and problem-solving skills.
  • Must be able to communicate effectively and work in stressful situations.

OTHER:

  • Willing to travel approximately 10% of the time.
  • Must maintain confidentiality with company information and understand what situations are applicable to share company information.

Certificates / Licenses / Registrations:

  • SHRM (Preferred)
  • LSS or other process improvement certification (Preferred)
