The Associated Students of CSU, Chico is recruiting for Wildcat Leadership Center (WLC) Office Coordinator . This is a full-time, full-year, non-exempt position. The pay range for this position is $19.00 to $21.00/hr; new hires typically start at the beginning of the range. The anticipated schedule for this position is Monday through Friday, 40 hours per week. This schedule is subject to change based on department needs.

The Associated Students (AS) is a comprehensive campus auxiliary corporation of CSU,Chico serving thousands of students, faculty, staff and community members through myriad student programs, services and business enterprises. With an annual budget of more than $21M, the AS operates residential and retail dining services, the Bell Memorial Union, the Wildcat Recreation Center (WREC), and administers the contract for the Wildcat Store (bookstore). Additionally, the AS offers a wide variety of services and programs such as: CAVE (Community Action Volunteers in Education), Child Development Lab, Adventure Outings, Sustainability and student government. Typically, the AS employs more than 100 full and part-time employees and more than 750 students.

OFFICE COORDINATOR
SUMMARY
Under general supervision, the Office Coordinator is responsible for the efficient operation of the Wildcat Leadership Center (WLC) in addition to supervising Student Desk Attendants.
ESSENTIAL FUNCTIONS
  • Provides essential front-line administrative support to the AS programs within the WLC to include inventory, data and technology requests, infrastructure management and submitting work orders.
  • Oversees all aspects of front office operations to include greeting visitors, responding to questions, directing phone calls, maintaining office supplies and equipment.
  • Recruits, screens, hires, supervises, schedules and evaluates Student Desk Attendants. Works in coordination with Student Life and Leadership (SSL) Office Coordinator to train Student Desk Attendants.
  • Coordinates all travel arrangements for designated individuals. This includes reservations, preparing required travel authorizations/reports, and submitting appropriate documentation to Accounting through Concur. Responsible for maintaining communication throughout duration of travel, following established travel policy and procedures and meeting established deadlines.
  • Processes employment and scholarship paperwork for designated programs as needed. This includes posting student employment opportunities, preparing employment documents (hires, changes, terms), and processing all onboarding and offboarding paperwork and logistics in the WLC.
  • Performs fiscal operations including processing Revenue Sharing and other funding payments by ensuring proper documentation, verifying club status, and submitting to Accounting following established policy and procedures and meeting established deadlines.
  • Places purchases for events, supplies and services. Processes corporate purchases, reimbursements and check requests for professional staff within the WLC.
  • Manages office access and infrastructure needs for authorized individuals.
  • Monitors printing/copying and office supplies budget for the WLC.
  • Prepares correspondence and other documents from rough draft to final form utilizing MS Office.
  • Responsible for preparation and disbursement of agendas, minutes and correspondence for the Government Affairs office. Researches and prepares reports on assigned topics as required. Timely submits to Financial Services financial documents including proposed budgets. Serves as backup minute taker for Board of Directors (BOD) and Associated Students Business Committee (ASBC) meetings.
  • Retains accurate and detailed records as required.
  • Coordinates room reservations, equipment acquisition, catering requests and trainings as needed (i.e. safety training, holiday receptions, etc.).
  • Maintains communication infrastructure and website updates. Collaborates with the Government Affairs Marketing Student Assistant with promotional ideas and social media posts.
  • Onboards and offboards elected representatives.
  • Processes MOUs for AS Contract Programs across campus.
  • Registers select elected representatives with California State Student Association (CSSA) Plenary and ensures possession of all necessary articles to actively participate.
  • Monitors expiration of all Government Affairs Committee (GAC) & Associated Students Facilities Committee (ASFC) professional staff appointments and renews appointments as needed.
  • Reviews elected representatives' school schedules to create councils and committee schedules for the term.
  • Reviews/corrects all councils' and committees' appointment sheets, meeting agendas, minutes, room reservations, email/calendar invites and campus staff communications, etc. Takes minutes in absence of co-chair.
  • Maintains inventory list of Government Affairs property including t-shirts, tables & chairs, student binders, pins, etc.
  • Tracks elected representatives' office hours and creates written attendance reports for the President and Executive Vice President.
  • Coordinates with Marketing for portraits and group photography for elected representatives within the WLC.
  • Provides administrative support for the Sustainability Funding Allocation Committee (SFAC), taking minutes and scheduling meetings.
  • Oversees calendar for BMU 307and key usage for the tech hub.
  • Completes American Express charges for elected representatives in Concur.
  • Oversees addition and deletion of email accounts for Student Desk Attendants and elected representatives.
  • Communicates to the entirety of the WLC on behalf of AS in terms of policy updates, events, etc.
  • Schedules and manages the agenda for the WLC staff meetings, takes minutes and provides updates on conversation topics and action items.
  • Campus Security Authority: This position is designated as a Campus Security Authority (CSA) under the Clery Act and is required to comply with the requirements of this designation. Training is required and will be provided.
  • Other duties may be assigned.

MINIMUM EDUCATION and EXPERIENCE REQUIREMENTS
  • Two (2) years of increasingly responsible full-time or part-time equivalent experience in a variety of office administrative support work and leading work direction in an office environment.
  • High school diploma or equivalent.
PREFERRED REQUIREMENTS
  • Supervisory experience.
  • General knowledge of Robert's Rules of Order, the Glorio Romero Act and boardroom etiquette.
  • Ability to type 55 words per minute.
SPECIAL REQUIREMENTS
