AMS Staffing is Hiring an Office administrator Near Miami, FL

Job Title : Office Administrator

Location : Miami, FL

Salary : 80-90K

Eligible for OT : NO

Daily Hours : 9am-5pm

Work Week Hours : 40

Work Environment : 100% onsite

Staff : 30 in total 10 attorneys

Job Description :

The Office Manager will have the opportunity to play a key role in contributing to the growth and success of our firm by working directly with the firm's shareholders and leadership team to manage day to day operations.

The successful candidate will be one who has experience working in a fast-paced environment (preferably having worked in a law firm) and is able to complete assignments under time sensitive deadlines with a "can do" positive attitude.

The successful candidate is results oriented with a motivation to succeed, is highly organized, and can manage daily tasks along with long term projects.

Key Roles and Responsibilities

Human Resources

  • Assist in the advertising for and scheduling of interviews with employment candidates.
  • Provide new hire orientation and training.
  • Maintain records of employee sick / vacation time.
  • Revise, implement and maintain the firm's employee policies and procedures manuals.
  • Report bi-weekly employee hours to outside payroll administrator.

Office Administration

  • Oversee front desk / receptionist services by greeting clients and communicating with other occasional office visitors.
  • Review and present contracts with vendors for office maintenance and administration.
  • Lead planning and execution of events, including but not limited to firm lunches, client events, holiday parties and trainings.
  • Oversee management of office supply areas; ensure proper and consistent stock of all supplies are on hand and orders are managed efficiently.
  • Work with the firm's shareholders on office initiatives and issues.
  • Assist with special projects as requested.
  • Communicate with staff and building management about building and office issues (i.e., parking passes, off hours HVAC requests, maintenance issue).

Required Skills / Abilities

  • Working knowledge of Word, Excel, and Outlook is required.
  • Excellent interpersonal skills, including the ability to develop and maintain positive relationships with others and to work with others toward a common goal.
  • Effectively and professionally interact and communicate with attorneys, staff, and clients.
  • Ensure strict confidentiality at all times.
  • Identify and respond to issues / problems in a timely manner and seek feedback / follow-up as appropriate.
  • Ability to follow through on tasks with minimal supervision and follow up on own initiative.
  • Take initiative beyond routine responsibility.
  • Seeks out and accepts new responsibilities and development opportunities to enhance skills
  • Work experience with NetDocuments and Centerbase programs is helpful but not required.
