Position Summary

Under minimal supervision, this position directs and manages project work to ensure appropriate communication of project status, scope, risk. This team member manages assigned projects per standards and guidelines in order to facilitate the completion of projects within budget and schedule. Project work is typically moderate in complexity, requiring project manager flexibility to apply various tools and techniques to provide structure to the project, leveraging relevant experience and ingenuity. Workload may include managing multiple projects, at various stages, simultaneously or a single more complex, risk involved project.This team member builds and maintains working relationships with sponsoring organizations, stakeholders, team members, vendors, and other departments involved in the projects. Employee is familiar with a variety of the field’s concepts, practices, and procedures. This position relies on experience and judgment to plan and accomplish goals. Performs a variety of tasks and leads and directs the work of others. This team member actively participates and contributes to the WU IT Project Manager Community of Practice.

Job Description

Primary Duties & Responsibilities

Stakeholder and Customer Engagement

  • Creates and executes project communication plan. 
  • Develops and communicates project goals, responsibilities, expectations, risks and feedback with all parties in a timely manner.
  • Sets and manages customer and stakeholder expectations specific to the project.
  • Communicates project direction, approach, priorities, events and status to all project resources and business sponsors.
  • Builds working relationships with team members, vendors and other departments involved in the projects.
  • Influences decision-making on projects; works with key stakeholders, sponsors and senior management to secure acceptance and approval of deliverables.

Project Analysis and Planning

  • Analyzes and selects appropriate project management methodologies to develop plans, assign roles and responsibilities, manage tasks and deliverables; authors improvements to methodologies.
  • Develops project charter, budget and work breakdown structure (WBS) and other required components of the project plan (change management plan, scope management plan, cost management plan, risk management, procurement management plan, stakeholder management plan, communications management plan, quality management plan, human resource management plan).
  • Identifies needed resources, negotiates use of those resources, assigns responsibilities and develops timeframes to facilitate successful completion of project activities and deliverables.

Project Execution, Monitoring and Control

  • Manages execution of project plans to support the ongoing needs of the IT department’s customers.
  • Tracks and monitors project health utilizing standard metrics for schedule, scope, budget and stakeholder engagement; Tracks actual results to plan and analyze impact to report status: takes corrective action.
  • Assigns work to project team and coordinates resources.
  • Assures all necessary project deliverables are completed according to specification in the quality plan.
  • Manages the stated scope and requirements assuring project changes are highlighted, understood and approved by the project sponsor.
  • Assesses and mitigates project risks and issues; engages project team to identify and resolve problems.
  • Relies on extensive knowledge and professional discretion to achieve goals.
  • Manages project procurements and external service providers.
  • Schedules and facilitates meetings related to projects.
  • Manages project closeout activities.

Project Leadership

  • Leads and motivates project team to meet specific deadlines while meeting customer satisfaction expectations.
  • Lends expertise to teams and task forces.
  • Coordinates and facilitates lessons learned sessions for all projects, identifying opportunities for continuous improvement.
  • Ensures project team(s) effectively utilize internal project management process and documentation standards.
  • Actively participates and contributes to PM Community of Practice.
  • Mentors and coaches junior team members.

Project Financial Management

  • Collaborates with Project owner to develop project budget.
  • Manages project costs and forecast to budget.
  • Identifies and manages budget risk.
  • Collaborates with Project Owner to identify and quantify impact of project changes on budget.

Performs other duties as assigned.

Preferred Qualifications

  • Experience in a matrix management structure in which you rely on other leaders for delivery of portions of your service.
  • Experience with ITIL framework.
  • Experience using project management and various systems development methodologies including Agile techniques.
  • Experience in a clinical support IT environment.
  • Experience in a higher education technology environment.
  • PMP or MPM certification.
  • Experience managing project(s) that resulted in providing a new service.
  • Supports teammates at all times and in any way necessary to maintain a productive, energetic, efficient and dynamic WashU IT team. Communicates effectively and frequently both verbally and in writing with other members of the team. Collaborates with other teammates to provide assistance, and expertise, as well as to receive expert input and assistance from others delivering the best solution and experience for the customer.
  • Possesses an aptitude for patience, professionalism, tactfulness and empathy. Enthusiastic and committed to helping others and exhibit the ability to quickly assess the specific needs of the customer to determine an appropriate course of action. Ability to quickly defuse stressful or anxious situations.
  • Demonstrates skills in project management and analysis, negotiation, leadership and team building, client relationship management, process improvement, strategic planning.
  • Ability to creatively solve problems and to influence outcomes through persuasion, effective communications and relationship building.
  • Strong familiarity with project management software such as MS Project.
  • Demonstrates leadership qualities such as conflict/issue resolution.
  • Ability to organize and work effectively in a matrix organization with cross-functional project teams from various departments and locations.
  • Excellent organizational and communication skills, both verbal and written.
  • Ability to work independently.
  • Ability to learn quickly and adapt to new circumstances.
  • Ability to work extra hours and adjust schedule and recognize the need to do so.
  • Ability to adjust to changes in priorities and demands on time.
  • Demonstrates ability to manage environments and leadership using metrics.
  • Ingenuity and flexibility is expected.

Required Qualifications

  • Bachelor’s degree plus four years of relevant experience or equivalent combination of education and experience.
  • Relevant experience includes leading work (or projects) in the IT industry; demonstrated technical and/or business expertise; demonstrated experience achieving resolution to complex technical or business issues, and providing direction and leadership to a project team.

Salary Range

$82,500.00 - $145,200.00 / AnnuallyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
