ZS Corporate Support Teams operate the firms core internal enterprise functions. Our global teams comprise team-oriented, pragmatic and results-driven people who thrive in a challenging work environment. Operations Support maintains the ZS office environment and processes in support of the professionals as they complete their work. The office operations team provides front desk support, meeting and catering coordination, workspace management, office events/initiatives support, and facilities management.

OPERATIONS ASSISTANT

We seek an experienced operations professional who is organized and energetic, with superb interpersonal skills for our Princeton, NJ office. The Operations Assistant performs a wide range of activities supporting office operations, meetings, events, and office initiatives to facilitate the efficient operation of the organization. This is an on-site role M-F.

Responsibilities:

Meeting Coordination

  • Provide on-site support for events and meetings.
  • Monitor office space reservations for meeting coordination
  • Placement of catering orders
  • Coordinate with vendors to ensure seamless execution of services
  • Update meetings/events database
  • Coordinate meeting deliverables to ensure timely completion
  • Provide financial support for catering functions, including budgeting and expense tracking

Office Events/Initiatives Support

  • Support office committees and various teams
  • Event execution (Set-up/breakdown/clean-up)
  • Assist with vendor deliveries for lunch program
  • Coordinate updates for events and office communications on company intranet

Facilities/Operations support:

  • Ensure daily compliance with safety protocols and procedures
  • Monitor office space reservation for workspace coordination
  • Cross-office staffer logistics and cross-train
  • Manage inventory and supplies for meeting rooms and reception area
  • Coordinate and track deliveries
  • Assist with finance-related tasks

Hours are 8:30 am 5:30 pm

Qualifications:

  • High school diploma required. Post-secondary education or Associate or Bachelor degree preferred.
  • 1 - 3 years of relevant work experience as a meeting/events coordinator, an operations/administrative assistant, preferably in a professional services or hospitality environment
  • Proficiency in MS Office (MS Forms, Word, PowerPoint, Excel, SharePoint and Outlook), calendar management, email systems
  • Strong oral and written communication skills
  • Professional appearance and demeanor with ability to exercise good judgment and discretion
  • Good time management skills, attention to detail, dependability, flexibility
  • Proactive self-starter with critical thinking skills and ability to manage a wide variety of tasks and projects
  • Experience working both independently and with a team in a demanding environment
  • Ability to lift 50 pounds
  • Positive attitude and sense of humor appreciated
