Human Resources Assistant

STATUS: NON-EXEMPT, FULL TIME / BENEFITED, ON-SITE

REPORTS TO: CONTROLLER & DIRECTOR OF HUMAN RESOURCES

SALARY RANGE: $40.86 - $45.67 per hour plus benefits

MINIMUM QUALIFICATIONS/EDUCATION REQUIREMENTS:

  • Three years’ of ADP monthly and semi-monthly payroll processing and report writing for a minimum of 150 employees.
  • Three years’ experience in similar payroll, human resources and administrative support positions performing the duties and demonstrating a high level of the knowledge, skills and abilities listed above.
  • Combination of education, experience and training that provides the knowledge, skills and abilities required.
  • BA/BS College degree

PRIMARY ROLE:

Process a bi-monthly and monthly payroll for 200 full time and part time employees. Track hours and create quarterly spreadsheets for Healthy San Francisco and San Francisco Paid Sick Leave Ordinance. Complete job verifications. Provide administrative support to the Director of Human Resources and assist with the Accounts Payable function when needed.

A SUCCESSFUL CANDIDATE IN THIS POSITION WILL BE ABLE TO DEMONSTRATE:

Payroll

  • Utilize ADP Workforce Now payroll software to input, review and/or process a bi-monthly and monthly payroll for 200 full time and part time employees Collect, calculate and enter data/changes for new hires, existing employees and terminated employees
  • Prepare General Ledger Payroll worksheet
  • Overview of time-collection system, coordinate with ADP for upgrades
  • Respond to and/or process payroll requests such as garnishments, IRS, FTB or EDD inquiries
  • Verify new hires’ work eligibility
  • Complete employment verifications
  • Calculate and process manual checks
  • Track sick days for hourly staff who process time cards electronically
  • Prepare and distribute semi-monthly, monthly, quarterly and annual reports thru ADP Reporting
  • Update and verify payroll schedule
  • Answer payroll questions; research and resolve discrepancies.
  • Maintain payroll records
  • Run payroll reports as requested including workers’ compensation reports
  • Assist with annual Workers’ Compensation audit
  • Prepare and update quarterly San Francisco’s City Option plan (HCSO), and San Francisco Paid Sick Leave hours and eligibility
  • Prepare and process annual EEO and California Pay Data reporting, W2’s and ACA 1095’s

Human Resources

  • Process on-line benefit enrollments for Flex plan and 403B plan enrollments
  • Prepare and upload 403B, and Employer contribution worksheets to the retirement plan
  • Reconcile insurance invoices to payroll deductions and flag disparities
  • Review onboarding documents to be sure the file is complete
  • Submit new hire information and employee changes to payroll
  • Respond to HR and benefit-related inquiries and requests for forms.
  • Complete I-9 forms and audit I-9 files
  • Maintains active and terminated Personnel Files
  • Perform other tasks as requested

Accounting

  • Back up the A/P coordinator in processing payments of invoices and reimbursement requests
  • Reconcile GL’s Exchange Account to Payroll
  • Process year end 1099’s for non-employees
  • Assist with audits
  • Other Duties as assigned

QUALIFICATIONS:

  • Knowledge of office practices and procedures, recordkeeping practices, MS Word, Excel, database management, email systems, general office machines and telephone systems, proper English usage, spelling and punctuation
  • A strong working knowledge of ADP Workforce Now payroll processing and report writing
  • Payroll practices and recordkeeping regulations for California
  • Multi State payroll experience a plus, currently 2 teachers work out of state
  • General math skills, 10 key by touch
  • Knowledge of employee benefit programs and on-line enrollments
  • Ability to analyze and problem solve

  • General understanding of Workers’ compensation reporting
  • Ability to use tact and discretion and maintain confidentiality with sensitive information
  • Knowledge and understanding of SI philosophy and Ignatian values
