Southeastern Integrated Care is Hiring a Transportation Manager Near Pembroke, NC

Summary:

The Transportation Manager is responsible for the overall operations of the transportation division including safety, compliance, equipment, and staff. This individual will also develop and direct operational policies and procedures to ensure safety and efficiency in all transportation activities.

POSITION SUMMARY: Responsible for overseeing the safe and client engaging non-emergency client transportation to outpatient/residential treatment clients. The job’s purpose is to manage the provision of and maintenance of a safe, caring, and engaging environment for non-emergency clients while providing transport service as appropriate for the needs of the client. Represent the spirit of Southeastern Life Center, with its primary focus on removing the barriers to recovery for the clients we serve.

Essential Duties and Responsibilities:

To Staff:

  • Provide supervision to transportation staff daily to assure a professional and caring service for all patients while in the care of Southeastern Life Center.
  • Oversee and supervise the implementation of our transportation dispatching and scheduling software system.
  • Plan, organize, and manage the work of employees in the department to ensure work is accomplished in a manner consistent with organizational requirements.
  • Ensure all new staff completes orientation, receive training that satisfies NEMT requirements.
  • Coordinate with Fleet Manager all on-going professional development training for staff is completed within compliance timeframes.
  • Ensure all documentation/forms in the office transportation portfolio are current and meet NEMT standards.
  • Meet weekly to ensure current communication of department goals, policy and procedures adherence/changes, and billing with staff.
  • Complete staff evaluations as scheduled (90 days, 6 months, 12 months, annually thereafter).
  • Verify staffs’ timecards in ADP before/by weekly due date.

To Director:

  • Meet bi-weekly with director to relate any departmental challenges and provide updates on departmental goal attainment.
  • Enter all transportation data in the Transportation Spreadsheet weekly.
  • Email weekly the previous week’s transportation reports to upper management on Monday.
  • Assist with grant applications, evaluations, and reporting as needed.


Overall Operations:

  • Oversees coordinating the day-to-day transportation operations including dispatching, routing, and tracking transportation vehicles.
  • Ensure Assistant Manager is coordinating with community providers in need of transportation services for their clientele through our contractual agreements daily.
  • Conduct weekly check ins with community providers/partners.
  • Work closely with Human Resources to recruit employees within the department.
  • Monitors Fleet manager to ensure vehicle operational requirements are completed (verify insurance coverage, daily, weekly, monthly check logs, repairs, taxes, and services).
  • Consistently research and test software tools, management methodologies and workflow processes.
  • Oversee the budgeting process for the transportation division, from proposal to expense control.
  • Establish compliance programs with state and federal regulations, including those imposed by the Department of Transportation (DOT).
  • Maintain up-to-date data in appropriate software systems.

  • Demographic: consumer information such as name, date of birth, address, etc.
  • Clinical: None

  • Organizational: unit and organizational policies and procedures
  • Knowledge based: access to Information Resource Center reference resources

Supervisory Responsibilities:

This position oversees staff.

Qualifications:

EDUCATION, CREDENTIALS, TRAINING and EXPERIENCE:

Minimum Required:

  • High School Diploma or equivalent. Bachelor’s Degree – in Business preferred.
    • Good people skills with a caring and polite manner.
    • Must have a valid NC driving license with no more than 3 penalty points.
  • Illegal Drug Use - completed upon hire.

Preferred:

  • Bachelor’s Degree in Business, Human Services, or related fields.
    • Previous driving experience working in patient transport.
  • CPR, first aid, NCI and/or role related certification within 3 months of hire.


Completion within 90 days from hire:

  • PASS Basic certificate CTAA training within 90 days of hire.
  • PASS Wheelchair certificate Hands On training required with certified trainer within 90 days.
  • First Aid/CPR card or certificate within 30 days.
  • Defensive Driving certificate within 90 days.
  • Americans with Disabilities Act (ADA) - completed upon hire and annually.
  • Emergency Procedures for Vehicle Operations - completed upon hire and annually.


Required Skills/Abilities

  • Must have strong operations experience.
  • Excellent communication skills and must be able to interact with all levels of personnel.
  • Must be a positive team player and can work harmoniously and effectively with staff, customers, contractors, suppliers/vendors, colleagues and Management.
  • Attention to detail and organizational skills.
  • Must have the ability to set and manage changing priorities and exhibit good time management and multi-tasking skills.
  • Effective problem-resolution skills.
  • Excellent customer service skills are required.
  • Experience with computers and Microsoft Office, including the ability to learn, comprehend and utilize new computer programs.
  • Experienced with Routing, GPS software, and all other relevant software platforms.
  • Automotive maintenance experience preferred.
