HR Works-Client Positions is Hiring a Full Charge Bookkeeper Near Rochester, NY

HR Works is supporting a client (growing food & beverage manufacturing industry) in their search for a Full Charge Bookkeeper. As a bookkeeper you will be primarily responsible for order processing, A/R & collections, invoicing, inventory control. Manage multiple relationships internally and externally. This role is the key accounting role and responsible for prioritizing and organizing various tasks such as interacting with vendors and customers, connecting customers to the appropriate internal contacts, working with the sales team on their order processes, providing detailed reporting and influencing other departments to meet goals. Comfort with ambiguity and versatility is important to fitting well into a fast growth entrepreneurial environment.

To be successful in this role a candidate would need to adapt to a quickly changing environment, have strong time management skills, accuracy and strong attention to detail. Work hard to positively impact and support the organization’s sales and production departments. Maintain a positive attitude and ability to influence people and teams to meet outcomes is important for success in this position.

Key Relationships

Internal: Sales, Marketing, Production

External: Vendors and customers

Essential Duties:

  • Document, organize, and maintain financial records accurately and efficiently.
  • Reconcile checking accounts and financial discrepancies
  • Convert sales orders to invoices with the correct shipping method and date
  • Prepare invoices and associated deposits from retail sales
  • Reconcile monthly inventory counts across multiple inventory sites, documenting and maintaining an accurate information
  • Facilitate communications between the sales reps and customers, responding to customer inquiries by linking them to their assigned sales rep
  • Compute sales taxes owed, prepare sales tax returns
  • Advise management and communicate clearly with peers
  • Manage accounts receivable-applying payments, monitoring aging accounts, communicating appropriately with customers regarding overdue invoices and updating delinquents list, and sending accounts to the Collection Agency as needed
  • Prepare and ‘deliver’ bank deposits
  • Manage inventory including physical counts, adjustments in bottling, transfers between sites, and new items
  • Maintain reporting on inventory such as quarterly physical counts, monthly negative inventory reporting, etc.
  • Maintain weekly, monthly, quarterly, and season sales reports for all revenue departments
  • Maintain monthly MT-40 estimate report and annual filing
  • File monthly compliance reports for other states
  • Maintain new customer paperwork (ST-120s)
  • Retrieve and process mail, check for package deliveries
  • Identifying process improvements to increase efficiency
  • Payroll Processing
  • Other duties as opportunities as assigned and needed

Qualifications, Skills and Abilities Required:

  • Associate degree in accounting or related field.
  • Minimum of 5 years of experience in the accounting field preferably in a small business
  • Experience with manufacturing industry and inventory
  • Expert prioritization skills to ensure multiple tasks, projects and deadlines are completed on time
  • Strong attention to detail
  • Ability to communicate clearly and effectively at all times, through written and verbal forms
  • Proficiency in QuickBooks & NetSuite
  • Expertise in Microsoft Office Suite and Excel

Physical Requirements:

Ability to use a computer for long periods of time. Ability to access physical files. Able to lift up to 30lbs on occasion. Ability to clearly communicate via phone.

Job Type: Full-time (on-site) work, Monday-Friday during business hours of 8:00am-5:00pm.

Pay: $64,000.00 - $70,000.00 per year
