Position Summary:
The Receptionist / Customer Service greets all office visitors and answers any phone calls that are received. Work closely to personally assist President and VP of Sales with any tasks needed.
General Purpose of the Position:
The Receptionist / Customer Service will assist in greeting people as they walk in, manage company phone traffic, direct all inbound calls, manage daily subs and shorts, communicate with customers, take, and process customer orders, process and file paperwork. Work closely to personally assist President and VP of Sales with any tasks needed. This position reports to Accounts Receivable, Credit Supervisor and to the VP of Sales.

Essential Duties & Core Responsibilities:
  • Greet and screen all incoming visitors in a professional manner.
  • Communicate efficiently and clearly verbally and in writing.
  • Answer, screen, and forward any incoming calls while providing basic information in a pleasant manner.
  • Complete general office duties at the beginning and end of the day (open blinds, make coffee, music, etc.).
  • Stock all break rooms with necessary supplies, maintain the office area supplies, ensure conference room is clean and tidy.
  • Keep printers stocked with paper and ink toner.
  • Maintain cleanliness of break rooms and sales kitchen.
  • Daily outbound calls to customers.
  • Stamp, scan, alphabetize and file invoices daily.
  • Take incoming phone orders from customers and input into system throughout the day
  • Schedule FedEx pick-ups as requested.
  • Assist with potential customers as needed.
  • Prompt and regular attendance.
  • Maintain friendly communication with all staff, customers, and vendors over the phone and in person.
  • Other duties as assigned.
  • Manage the daily sub and short report and communicate with customers and buyers efficiently and clearly.
  • Personally assist the President and VP of Sales with tasks
  • Be an efficient multi-tasker and a take initiative to stay busy
  • Cover Will Call Duties in the Order Department; in person transactions, open and close will call, take and enter customer orders, communicate with routing, sales, buying, etc.

  • Proficient with Microsoft Word, Excel, and Outlook
  • Able to operate office equipment such as computers, telephones, fax machines and 10-key
  • Detail oriented and professional
  • Excellent communication skills both written and verbal
  • Motivated and proactive in completing all tasks
  • Ability to organize, prioritize and work under pressure in a fast-paced environment
  • Ability to write clear, concise correspondence.
  • Ability and willingness to follow detailed procedures and processes
  • Ability to act in an ethical, honest, and professional manner always
  • Must be a team player
  • Typing speed of 60 wpm
Education & Experience:
  • High school diploma or General Education Diploma (GED)
  • Proven working experience in an office handling office or reception duties responsibility and independently.
Schedule:
Monday - Friday 7:30AM – 4-5PM. On occasion being asked to cover on Sunday 9AM-5PM
Pay Range:
  • $18.00 - $20.00 per hour

  • Must be able to bend and stoop occasionally to reach file cabinets, boxes, etc.
  • Occasionally lift, carry and/or move up to 30 pounds
  • Specific vision abilities to include close vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
  • Required to talk and hear regularly
  • Must be able to walk up and down stairs several times throughout the day
  • Repeated use of hands and arms to answer phones and input orders
  • Manual dexterity to use a computer and phone
  • Noise level is generally moderate
