Easthampton Public Schools is Hiring an Administrative Assistant, Personnel & SIMS State Reporting - Central Office, Near Easthampton, MA

35 hours/week, year round positionGrade C, $21.36 - $23.70/hour (FY2024 rate) ($747.60 – 829.44/week)Qualifications:l. High School diploma or equivalent;2. Two years of post-secondary training and two year's job experience as an administrative assistant or three year's job experience as an administrative assistant;3. Experience and/or training with on-line data management and reporting systems;4. Any alternatives to the above that is acceptable to the Superintendent.Duties include:•Develop forms, charts, spreadsheets, and databases as needed;•Obtains, gather, and organize pertinent data as needed, and put it into usable form;•Maintain a regular filing system, as well as a set of locked confidential files, and process incoming correspondence as instructed;•Place and receive telephone calls, and record and deliver messages;•Order and maintain supplies as needed;•Perform any bookkeeping tasks associated with the specific position;•Welcome visitors and arrange for their comfort; •Schedule appointments;•Perform the special and unique tasks associated with the position assigned;•Any other duties assigned by supervisor. •State and Personnel Reporting - Compile, submit, correct, verify, and certify all DESE reports (including but not limited to SIMS, EPIMS, SCS, SSDR); School Choice and Charter School Rosters, E-Rate forms; EEOC, Civil Rights, School Attending Students report, Graduate follow up survey.•School Choice – Establish and maintain database for school choice, including openings and waitlist; process applications and send out acceptance letters and forms; interact with families and the schools regarding school choice matters; maintain records of school choice students.•Student Registration – meet with K-4 parents to process students and complete all necessary forms; keep all forms up-to-date.•Student Information System – Enroll students and assign LASID and SASID numbers; staff and assign MEPID numbers; code staff assignments, courses, and all CVTE students; enter special education, staff benefits, and free and reduced lunch information; assist administration and families to troubleshoot system access.•Substitute System – track all unpaid days, assist staff and substitutes with questions; enter all information and set up district calendar.•Free/Reduced Lunch – enter in power school all free and reduced lunch students.•Miscellaneous – enter purchase order in KVS, participate in webinars to keep up to date with reporting changes; maintain records such as staff accidents, bullying, and student discipline.
