The Spa at Norwich Inn is Hiring a Sales Service Coordinator Near Norwich, CT

SUMMARY

Initial contact for main sales email and phone line and distributes as needed.

Manages from inquiry to detailing all small corporate or social group inquiries of 10 guests or less, with 10 guest room nights or less, and at least one meeting/Banquet event.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Arranges meals, meeting and billing needs and effectively communicates this information to our Banquet Department, kitchen, spa, reservations, front office manager, accounting and management personnel via BEO process.
  • Assists in ensuring maximizing food, beverage, and rental revenues, and levels of service are achieved in the sales process.
  • Ensures signed copies of BEO’s and Contracts, as well as required deposits are on file prior to client arrival for all events within designated market segment.
  • Assists with Corporate Events by detailing BEO’s and confirming details.
  • Creates and distributes the daily change sheet log.
  • Creates and distributes weekly distribution for upcoming group functions.
  • Prepares all paperwork for BEO Meeting.
  • Manage inquiries and book spa groups with one banquet event and spa treatments for no more than 20 guests.
  • Inputs Group Rooming Lists.
  • Details all relevant information regarding any groups booked by coordinator or any groups assigned by Director of Sales and communicates that information to the necessary departments (spa, restaurant, hotel, etc.).
  • Follows all policies and company standards and procedures.
  • Performs various assignments as directed by the Sales Director.
  • Details all In-House Events
  • Facilitate and conduct site inspections as needed
  • Main contact for general sales emails, assists with answering and distributing leads
  • Tracks and reports Group Rooms / Space Hold cutoff dates to Sales team members of cutoff dates and assists with reminding contacts if needed
  • Runs established reports in preparation for weekly sales meetings

QUALIFICATIONS

· Excellent organizational skills, verbal and written communication skills and telephone skills.

· Ability to handle difficult and stressful situations with ease.

· Ability to interact with all types of people in varies situations.

· Prior experience with Delphi preferred.

· Prior Experience in sales preferred.

EDUCATION and/or EXPERIENCE

High School Degree or equivalent required. Bachelor’s Degree Preferred. Minimum two years hospitality experience with a background in F&B required. Experience in Reservations / or Group booking procedures preferred.

Must be comfortable utilizing computer programs and various office machines (fax, copier, etc). Working knowledge of common computer software programs such as Microsoft Word, Excel, Outlook.

LANGUAGE SKILLS

Possesses good oral and written communication skills. Ability to interpret documents such as safety rules, operating and procedure manuals; must be able to communicate effectively with guests and fellow associates; ability to communicate at the management level with superiors and peers.

MATHEMATICAL SKILLS

Must be able to add, subtract, multiply and divide; ability to utilize a calculator.
