SUMMARY: The Sales Coordinator is primarily responsible coordinating details of all arrangements for group sales and catering event, generating Banquet Event Orders , group resumes, billing and providing administrative support to the Director of Sales and Executive Event Managers

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Schedule site inspections, maintain strong customer relationships and participate in interdepartmental meetings.

Process proposals, contracts, banquet event orders, and correspondences for our all groups.

Assist in the preparation and distribution of group resumes to appropriate staff in a timely manner.

Updating all appropriate documentation, ensuring all departments have the most up-to-date and accurate information.

Assist the F&B Department in providing service, arrange event details for groups and communicating information to staff and clients.

Negotiate meeting F&B minimums, room rental, hotel services and potential guest room rates within approved booking guidelines as directed by Director of Sales.

Produce weekly, monthly sales-related reports and sales forecasts for department.

Remain up to date on industry trends and client service business needs.

Cultivate collaborative, mutually supportive relationships with and among customers, community, sales office, and hotel staff.

Maintain client files and update information daily in accordance with established departmental policies and procedures.

Follow up with clients regularly during and after departure to ensure satisfaction and secure future bookings.

Ensure department compliance regarding receiving proper payment from sales and catering clients before and after events, in a timely matter.

Must be exceedingly precise and accurate: in use with Sales pro and document all activities in the system.

Must have skills to multi-task between activities and in-house communication.

Promote teamwork and quality service through daily communication and coordination with other departments.

Support safe work habits and contribute to a safe working environment at all times.

QUALIFICATIONS, SKILLS & ABILITIES:

Knowledge resort/hotel service standards, guest relations and etiquette.

Knowledge of sales and catering event operations a plus.

Experience presenting menus, negotiating rates, dates, and space for clients.

Excellent communication, verbal, written, customer service and organizational skills.

Must have excellent phone etiquette.

Ability to work a flexible schedule that may include evenings, weekends and holidays.

Must have the ability to deal effectively and interact well with employees and guests.

Ability to multi-task, manage interruptions, establish work priorities, handle stress, and effectively function in a fast-paced environment.

EXPERIENCE & EDUCATION:

· High school diploma or equivalent

· Hospitality experience in Sales and Catering preferred.

LANGUAGE SKILLS:

· Ability to read, comprehend and provide instructions in English, both written and verbal.

COMPUTER SKILLS:

· Proficient in Microsoft Outlook, Office, Word, Excel and Internet applications.

· Knowledge of a Sales software program a plus

Job Type: Full-time

Pay: $25.00 per hour
