Illinois Wesleyan University is Hiring an Administrative Specialist III (Thorpe Center) Near Bloomington, IL

This position provides administrative specialist for the Thorpe Center for Faculty Development and the Associate Dean/Dean for Curriculum and Instruction. Operations of the Thorpe Center include: faculty-led travel courses, faculty development travel budget, administrative support for CETAL, FDC, CC, Gateway, the Writing Program, the Gen Ed Program, instructional technology, and external reviews. This is a full time, on-campus position. Generous benefits include health, retirement, considerable time off and access to multiple tuition programs for employees and dependents.

RESPONSIBILITIES:

  • Maintains the Faculty Development travel budget and Student travel budget; intake and process travel request forms; releases appropriate amount of supplemental funds; record and process faculty and student travel reimbursements; reconciles the faculty travel budget at the end of the year, resolving requests for additional funds; administrative support of faculty led travel courses
  • Support the Council for Excellence in Teaching and Learning (CETAL) and Faculty Development Committee (FDC); receives, organizes and uploads all internal grants reviewed by CETAL and FDC; reviews, formats, and distributes grant decision letters; maintains grants budget, tracking awarded grants, processing reimbursements; assists with program/event planning, including advertising, catering and stipend processing
  • Support Curriculum Council (CC); receives, processes, and uploads all CC action requests; sets up and maintains the CC action requests; set up and maintain the CC Scorecard and Consent Agenda
  • Administrative support for Thorpe Center and Associate Dean of Curriculum Instruction; assist departmental administrative specialists with logistics of external reviews that are essential for accreditation; transaction envelope and budget tracking; additional support to Writing Program, Gateway, Instructional Technology/Design

REQUIREMENTS:

  • High school diploma/GED is required; Bachelor’s degree preferred
  • Three years related office experience
  • Proficiency in MS Office Suite, Google Suite, Adobe and budget management
