POSITION SUMMARY:
TheBusinessOfficeManagerisakeyandvisibledepartmentsupervisorworkingdirectlywithallresidents,familyandemployees.TheBusinessOfficeManagerisresponsibleforthetimelyinputofinformationwithintheaccountingsystemsatthenursingfacilityandthosewhichinterfacewiththehomeoffice.TheBusinessOfficeManagerisdirectlyinvolvedinthemaintenanceofaccurateandcompletetrustaccountingrecords,censusinformation,billingandresidentaccountsreceivablestatements,wagespaidtoemployeespayrollandinvoiceprocessingforthenursingfacility.TheBusinessOfficeManageristheprimaryindividualresponsibleforthetimelycollectionofaccountsreceivablefromallpayorsources.FollowsallVillaspoliciesandprocedures.
ESSENTIAL FUNCTIONS:
1.Census,BillingandAccountsReceivable
Collatescensusinformationfromthenursingfloors,ensurestheaccurateandtimelyreportingofthecensusintheBillingsystemandCensustrackingsystem.Reconcilescensusonadailybasistoensureaccuracy.
Inputsresidentfinancialinformationwithinthebillingsystemandmaintainsaccurateandcompletefinancialdataforeachoftheresidents,bothinthecomputersystemandahardcopyinresidentfiles.
Reviewsbillingsgeneratedbythehomeofficeand/orisresponsibleforthedirectbillingof certainpayors(suchasMedicaid,etc.)
Isresponsibleforthetimelycollectionofallaccountsreceivable.FollowsupdirectlywithslowpayorsandinitiatescollectionactionswiththeassistanceoftheAreaControllerandCollectionSupervisor inthe home office. This willnecessitate dealings with MedicareandMedicaid billingpersonnel.
2.TrustAccountRecords
Maintainstrustaccountrecords.
Providesstatementsforresidentsinatimelymanner.
3.Payroll
Collates,verifies,obtainsfinalapprovalfromAdministrator,andsubmitsallpayrollhourstohomeoffice.
Maintainsaccurateemployeerecords.
Establishesandtracksbenefitsforthestaff.
4.AccountsPayable
Accuratelycodes,verifiesgoodsandservicesrendered.Ensuresallinvoicesareproperlyapproved,copiedforrecordpurposesandbatched/senttohomeofficeinatimelymanner.
ReviewstheAPDistributionreports.
5.*Complies with laws and regulations applicable to position and acts in accordance withVillasCorporateComplianceProgram.
6.Supervisesandtrainsotherbusinessofficepersonnel,ifrequired.
7.HIPAA
FollowsandadherestoVillaspoliciesandproceduresimplementingHIPAArequirementsfortheprivacyandsecurityofprotectedhealthinformation.
Usesand/ordisclosesonlyminimumamountofProtectedHealthInformationnecessarytocompleteassignedtasks.
ReportsallsuspectedviolationofcompanysHIPAApoliciesorprocedurestoFacilityPrivacyDesignee.
MINIMUM QUALIFICATIONS:
Education: HighSchooldiplomaorequivalent.
Experience: Firstlevelaccounting,orbasicbookkeepingcourseorpriorlongtermcarebookkeepingexperienceisstronglyrecommended.
