Position Summary:
The Meeting Services Internship is a hands-on, educational opportunity to apply classroom theory to real world work experience. Designed for college students, or those recently graduated, the Meeting Services Intern will be for those who are or have studied in areas such as hospitality management, business, communications, public relations, or other similar degree paths. This semester-long internship will provide a unique agency perspective on the many functions that meeting services plays into an event/program - such as food & beverage, registration, venue sourcing, etc. in an exciting, fast-paced environment.
Job Responsibilities
•Support Meeting Services team with:
o Registration and attendee management support
o Meeting coordination duties as necessary
o Maintain accurate and organized files for internal and external programs
o Gather and prepare data in preparation of upcoming projects and identify future needs to complete projects
o Meeting services support such as managing agendas, meeting specs, diagrams, BEOs, signage plans, materials fulfillment, shipping, etc.
o Client site visit coordination
o Contract and invoice assistance
o Develop and maintain relationships with venues and vendors both locally and through program coordination efforts
o Assisting the Meeting Services Department with financial reconciliation as requested
•Ability to assist with the execution of small to medium meetings, events and/or conferences as the meeting services lead
•Support local events team with meeting or event management services as needed
•Other duties as assigned
Qualifications:
•Currently enrolled, or recently graduated from a 4-year university with a major in Hospitality Management, Business, Communications, Public Relations, or related field

Environmental Conditions and Physical Demands:
Employee required to spend a portion of time in a seated position looking at a computer screen. Employee will be required to do some standing and walking. Employee will be in a well-lighted, heated, and/or air-conditioned indoor office setting with adequate ventilation.
