Job Title: Patient Services Representative

Work Schedule: Monday-Friday • 40 Hrs/Week

Classification: Full-Time

Location: Seldovia

Position Overview

Provide administrative support and perform general office functions at SVT Health & Wellness (SVTHW). Coordinate and direct patient registration, scheduling and cashiering. Provide superior customer service. Perform in an expanded, independent capacity as requested in the provisioning of patient care and meeting patient needs due to the remote, rural location of the clinic. 

 Duties and Responsibilities

  • Function as the first point of contact with SVTHW in Seldovia. Respond to incoming telephone or in-person requests for service. Perform all needed activities to register and schedule a patient, participate in revenue cycle activities to include collecting patient payments, cash handling and daily reconciliation.
  • Greet patients and visitors, in person and over the phone. Determine their needs and direct them accordingly.
  • Completes check in/check out and patient registration process, ensuring complete and accurate information is consistently obtained and updated in the EMR.
  • Maintain strict confidentiality and security of all patient health information (PHI) in accordance with federal and state privacy laws and regulations, SVTHW policies and procedures.
  • Responsible for compliance with ICWA and Mandatory Reporting laws.
  • Explain office policies, procedures and programs to patients.
  • Assist patients in gathering data and completion of forms and applications.
  • Obtain, enter, scan and maintain updated patient demographics, insurance status, insurance cards and active patient identification (i.e. driver’s license) in the electronic health record (EHR).
  • Engage patients in the completion of any necessary screening tools or forms applicable to the patient visit, such as the Ages & Stages Questionnaire (ASQ) for children up to 3 years of age.
  • Connect English as a Second Language (ESL) and/or American Sign Language (ASL) patients with interpretation assistance for their clinic visits.
  • Do inventory and re-stocking of office supplies.
  • Stock, organize and sell nutraceutical products.
  • Assist with laundry as needed.
  • Make/Coordinate travel reservations for provider staff.
  • Regularly attend scheduled staff meetings and trainings to maintain compliance with updates to administrative and billing functions.
  • Work cooperatively and productively in a team environment, working within a fast paced health and wellness care setting.
  • Familiarize and maintain working knowledge of Medicare, Medicaid, private insurance, PPOs and private pay accounts.
  • Open and close medical reception office as directed. Secure cabinets and doors after clinic hours.
  • Serve on SVTHW committee as requested. At times, may be asked to chair or co-chair a committee.
  • Perform other tasks as required by Supervisor or Revenue Cycle Manager. 

Job Requirements

  • All candidates must successfully pass a post-offer, pre-employment drug test
  • All candidates must successfully pass a background check
  • Minimum educational requirement is a high school diploma or GED.
  • Must be at least 18 years of age.
  • Timely, sensitive and clear communication is essential to the success of this position. Must possess ability to constantly and politely communicate verbally and in written form, with people of varying backgrounds and cultures.
  • Reliability – regular, consistent and on-time attendance is critical to the success of this position.
  • Ability to both accept and follow direction from others, as well as self-motivate when necessary
  • Team Player - Ability to work in a team environment
  • Computer Skills - Proficient to advanced operational knowledge of a computer, keyboard, and other office equipment. Must be familiar with Microsoft Excel and word processing, and database programs. Practice Management Software and Electronic Health Record experience strongly preferred.
  • Excellent people skills a must – customer service skills such as patience, attentiveness, use of Positive Language, ability to “read” patients, a calming presence, and ability to handle surprises are all essential to the success of this position.
  • Cash handling skills and ability to count money very important.
  • Basic understanding of anatomy preferred, but willing to train.
  • Medical/dental terminology knowledge, but willing to train.
  • During training period, must be able to travel between Homer, Seldovia and Anchor Point by car, boat, or plane. Travel to other communities is conducted as day-trips (overnights if preferred) but inclement weather may require overnight stays on a very rare occasion. 

 This job requires the ability to wear PPE (Personal Protective Equipment), Hazmat Mask, Ear and Eye Protection, and disposable gloves as necessary or applicable. One-time initial PPD Testing is provided by Seldovia Village Tribe to employees. 

 Work Environment

Seldovia Village Tribe is a drug-free, alcohol-free, and tobacco-free work environment. An individual in this position may be exposed to communicable diseases or hazards common to a healthcare setting, including but not limited to needle stick wounds, chemicals, and tuberculosis. Background check and fingerprinting required for all employees. Preemployment, random, and scheduled drug-testing will occur. SVT Health & Wellness health centers are well maintained primary care facilities. This position requires the ability to sit for prolonged periods of time working at a computer. This job is considered stressful but highly rewarding.
