Education: Four-year college degree, with a preferred major in related field, i.e. Hotel Management, Business or Marketing or 2 years prior experience in Catering & Conference Services.
Training and Experience:
  • Bachelor's degree in Hospitality Management, Event Planning, or a related field preferred.
  • Proven experience in conference and catering services management, preferably in the luxury hospitality industry.
  • Exceptional organizational and leadership skills.
  • Strong interpersonal and communication abilities.
  • Proficiency in event planning software and Microsoft Office Suite.
  • Ability to manage complex budgets and provide cost-effective solutions.
  • Dedication to delivering outstanding service and exceeding client expectations.
  • Proficiency in event planning software (Delphi).
  • A valid Driver’s License is required.
Job Knowledge: Proficiency in event administrative work to include banquet event orders diagrams and service agreements, along with a solid understanding of luxury hotel and resort operations.
Physical Abilities: This role requires the ability to be on your feet for extended periods and thrive in a fast-paced environment.
Job Duties and Responsibilities
  • Flexibility: Embrace a flexible schedule, including weekends and holidays, as needed.
  • Punctuality: Consistently arrive on time, presenting yourself in a professional and well-groomed manner.
  • Professional Appearance: Maintain a clean and polished appearance in accordance with our uniform and grooming standards. Management has final approval.
  • Continuous Learning: Participate in all mandatory training and safety courses, as well as attend departmental meetings.
  • Event Coordination: Oversee all aspects of conference groups booked by the Sales Department in addition to all assigned inquiries for social catering day events. Ensure adherence to sales agreements and guide clients through the planning process. Solicit and secure social catering day-event business through a proactive and focused sales approach. Develop relationships within the local community.
  • Revenue Optimization: Finalize event requirements, maximizing revenue through upselling and maintaining effective communication with all hotel departments both written (BEOs, Service Agreements, Diagrams, Daily Reports) and verbal to ensure the success of the event.
  • Client Liaison: Serve as a liaison between clients and hotel departments, maintaining an active trace system for event coordination with Delphi. Supervise the set up and execution of planned banquet event orders during the scheduled event.
  • Billing Accuracy: Verify the accuracy of banquet bills and conduct bill reviews upon event completion.
  • Event Supervision: Supervise the execution of banquet events, working closely with the banquet manager and setup manager to ensure client satisfaction. Make timely and impromptu decisions, which balance client’s needs with the financial, safety and staffing goals of the hotel
  • Meetings & Collaboration: Plan, attend, and participate in meetings with hotel staff and clients, ensuring seamless event execution.
  • Service Excellence: Uphold the highest standards of service and professionalism, fostering positive relationships with colleagues and clients.
  • Problem Solving: Address challenges and unexpected issues promptly, balancing client needs with hotel goals.
  • Communication: Keep the Director of Conference & Catering Services informed of any operational matters that require attention.
  • Hotel Knowledge: Maintain a deep understanding of the hotel's facilities, meeting space capacities, and operational requirements of all departments.
  • Interdepartmental Communication: Effectively communicate operational information to other hotel departments.
  • Administrative Support: Assist with various administrative tasks, including daily and weekly reports, event planning, and inquiries as needed.
  • Networking: Attend networking events and become active member in local organizations/industry associations.
  • Additional Duties: Perform any other duties as assigned by the Director of Conference & Catering Services.
