Spokane Neighborhood Action Partners is Hiring an Administrative Services Specialist-Housing Services/Weatherization Near Spokane, WA

SNAP is seeking a qualified individual for an Administrative Services Specialist.

Starting salary for this position is $19.75-$22.11 per hour DOE

Full range is $19.75-$31.13 per hour

Benefits include medical, dental, life, LTD, PTO and 403(b)


Position Summary:
Responsible for the screening and intake of client information for eligibility and processing of all Housing Services Programs requests, including weatherization, minor home repair, and rehabilitation.

Principle Duties and Responsibilities:

  • Supports operations as needed which includes phone, email and in person communications with clients, document gathering, data entry, and responding to inquiries about programs.
  • Works with coworkers and volunteers to promote a positive, respectful, and productive working environment, while protecting client confidentiality and dignity.
  • Screens clients requesting Housing Services Programs ensuring completion of required intake information.
  • Enters data into database; compiles and completes records and reports and maintains paperwork for files within program guidelines.
  • Mails bid requests, awards bids to contractors, and sends information to other contractors. Reconciles invoices for the Division.
  • Creates purchase orders and enters purchase orders into the computer.
  • Prepares for services as needed, including contractual compliance, environmental review, lead-based paint, owner agreement, notice to proceed, actual rehabilitation costs, local codes/permit process, HUD debarment/suspension, historic preservation, contractor lists, title searches, etc.
  • Schedules assessment, inspection, and service appointments with clients.
  • Reconciles materials in the Housing Services Programs files.
  • Assists with the marketing of Housing Services Programs.
  • Provides excellent customer service at all times as well as helps to grow the customer service culture within the agency.
  • Covers for receptionist during breaks and employee absence.
  • Completes assigned projects and performs related duties as needed or situation dictates.
  • Within the context of the stated principal job duties, serve as an ambassador of SNAP’s mission and values.

Requirements:

Education and Experience

  • Required: High school diploma or equivalent required; Minimum three years of administrative or clerical experience.
  • Preferred: Additional education and experience in administrative services preferred.

Knowledge, Skills, and Abilities

  • Ability to empathize with and advocate for low-income households, and to maintain confidentiality with personal information
  • General office skills, including working with multi-line phone system, filing, and basic bookkeeping
  • Proficient in computer operations including word processing, spreadsheets, and database
  • Knowledge of minor home repair and weatherization techniques
  • Strong communication and interpersonal skills, with emphasis on effectively working in a team environment and with a diverse population
  • Strong organizational, planning, and multi-tasking skills, with ability to organize and maintain substantial records
  • Ability to work independently, using initiative and judgment to resolve problems and ensure workflow is appropriately addressed in a timely manner
  • Ability to read, understand, and comply with program guidelines

Work Environment/Physical Activities:

Most work is sedentary and performed in an office setting; may involve frequent movement about the office and to other SNAP facilities.
