We are seeking an experienced Cosmetic Coordinator for our Millennium Park derm practice. They will serve as our primary point of contact for all things cosmetic in the office.

Must have! Our ideal candidate is incredibly professional, personable, passionate, and knowledgeable about the cosmetic and aesthetic industry. They have 5 or more years of experience working in in a cosmetic dermatology practice, plastic surgery office, or med spa. They have a comprehensive knowledge of cosmetic treatments and aesthetic procedures as well as medical grade products and industry trends is essential. They have an outstanding communications and customer service skillset and are able to multitask in a fast-paced medical setting. Experience with Nextech or ModMed is preferred.

They will provide patients with ‘white glove service,’ from start to finish, while guiding them through the consultation process, scheduling treatments and follow-ups, obtaining consent, taking before and after photos, discussing pre/post care instructions and expectations, providing quotes, collecting payments, and answering whatever questions they may have along the way.

This Is an opportunity to work with one of the most well-respected cosmetic dermatologists in the field, Dr. Kevin Pinski, and join a team that has provided high quality patient care for more than three decades. Dr. Pinski is a national and international instructor of other physicians for facial rejuvenation with a particular interest in injectables, lasers, and cutting-edge procedures.He is currently one of the largest providers of Botox in the country and has utilized fillers for over 25 years. Dr. Pinski has not only served as an Assistant Professor of Dermatology at Northwestern University but also as an advisor for Allergan, Merz, Medicis, and more.

Job Responsibilities

Administrative - Cosmetic/Aesthetic Appointments

• Schedule appointments and follow-ups properly adhering to scheduling guidelines
• Confirm appointments and treatment plans (remind patient of early arrival when photos and numbing are needed and ensure all questions are answered)
• Review cosmetic financial policy and collect deposits
• Collect remaining payments due at the time of service
• Prepare quotes
• Follow-up with patients after treatments
• Enroll patients in reward programs, enter points earned, and apply redemptions (Alle, Aspire, NeoRewards, and VIP)
• Contact patient leads and consults without procedures scheduled
• Monitor schedule templates and utilization for optimal practice flow

Clinical - Cosmetic/Aesthetic Appointments

• Assist with consultations
• Collect patient consents
• Capture quality before & after photos
• Review pre/post-care instructions
• Assist with rooming and numbing patients if needed
• Review and confirm treatment plan as well as expectations
• Provide ongoing support to patients and provider throughout appointments

Inventory

• Monitor, order, and reconcile inventory
• Regularly analyze inventory sales for promotions and/or discontinuation
• Serve as product specialist

Documentation

• Run reports (retention, expiring reward points, gift cards, etc.) and contact patients accordingly to schedule
• Maintain accurate and up to date documentation including consents and pre/post-care instructions
• Contact patient leads
• Respond to online inquiries
• Document patient contact within EHR system

Marketing

• Respond to online inquiries
• Monitor and respond to online reviews
• Participate in marketing efforts and content creation
• Assist with scheduling and promoting product of the month

Educate Staff

• Serve as liaison with reps
• Coordinate trainings/lunch-and-learns with reps
• Provide staff with ongoing education on treatments offered and products carried
