Iwasaki Bros., Inc. is a family-owned fourth-generation greenhouse company growing to bed (annuals, perennials, herbs, vegetables, ornamental grasses, planters, and hanging baskets) to chain garden centers in Oregon, Washington, and on occasion Idaho. Our plants are delivered on metal delivery racks in box trucks. 
Job Responsibilities
The Assistant Shipping Manager is responsible for:
  • Routing drivers to deliver plant products to establish customers using industry-specific software. Routing 20 drivers a day during peak and 6 to 10 drivers during off-peak season. 
  • Delivery logs – Print delivery logs after routing and give to Shipping Dock Supervisor timely, daily. 
  • Ensuring trip boxes are supplied with appropriate company documents. 
  • Ensuring all documents are completed as valid per Federal Motor Carrier Safety Administration (F.M.C.S.A). Follow up with drivers to ensure any documentation mistakes are corrected and prevented in the future. 
  • Ensure all information is logged properly on Driver Vehicle Inspection Reports (DVIR). Follow up with drivers to ensure any documentation mistakes are corrected and prevented in the future. Capture all information in a D.V.I.R spreadsheet to keep track of vehicle repairs and downtime, as well as ensure delivery vehicles are being serviced in a timely manner. 
  • Assist with ensuring that all trucks are road and inspection-worthy. Communicate with drivers to ensure maintenance concerns are valid and that repairs have been made. Coordinate with the accounting department on vehicle maintenance, invoice approvals, and adjustments. Coordinate with Shipping Manager and truck lease/rental companies on all repairs and preventative maintenance. Assist with the check-in process for all vehicles; including updating and retaining a truck check spreadsheet that is used to check the hardware on a vehicle that needs to be accounted for and returned when the vehicle is returned. Enter any correction in the D.V.I.R. spreadsheet to track downtime and timeliness in repairs.
  • Delivery logs – making sure that drivers complete their daily delivery logs including the start and end mileage, time that they arrived/departed at each store delivery. 
  • Review driver logs. Enter time entries in the driver schedule spreadsheet to monitor overtime and evenly distribute delivery work hours among the drivers. Track vacation and discretionary leave to ensure we dispatch drivers accordingly. 
  • Review driver timesheets – Support Shipping Manager in reviewing and approving driver timesheets. 
  • Monitor changes in FMCSA rules and updates the drivers by further training. Coordinate with Shipping Manager on the implementation of the FMCSA rules.
  • Assistant Manager will make deliveries to customers when necessary. 
  • Verify, approve, schedule, and file driver expenses. This includes but is not limited to Meals, lodging, bridge tolls, telephone reimbursement, and other expenses. Forward approved receipts to the Account Manager for payment processing.
  • Assist Shipping Manager pull mileage report from E-log provider for fuel taxes. Ensure all mileage entries are accurate per vehicle trip logs (Delivery Logs). 
  • Coordinate with Shipping Manager, Human Resources, and Sales Assistant Manager for driver testing, hiring, and training. Help develop drivers through the year with refresher courses, compliance updates, and safety awareness memorandums. 
Specific Job Skills and Prerequisites:
  • Department of Transportation (D.O.T.) and Federal Motor Carrier Safety Administration (F.M.C.S.A) knowledge 
  • Dispatch experience assigning driver routes. Making decisions if Growers or Maintenance have an order that needs to be picked up. Ability to incorporate their order pickup with delivery routes. 
  • Knowledge is of Oregon and Washington is preferable. 
  • Ability to multitask and work under time constraints 
  • Must be able to perform mathematical calculations accurately for various reports 
  • Ability to load delivery trucks. 
  • Basic knowledge in the financial matters associated with transportation.
  • Basic computer skills to include 10-key, Intermediate skills in Microsoft Office Suite, and typing. 
  • 6 months or equivalent box truck delivery driving experience 
  • In case of delivery, physically able to push racks of plants weighing up to 1000 lbs. on wheels and lift flats from the ground to above your head weighing up to 35 lbs. 
  • Organize and coordinate truck rentals and returns. 
  • Supervisory experience preferred.
