Job Description

Ultimate Staffing is seeking a Business Office Administrator for a Personal Care Product firm that specializes in innovative design and manufacturing of Beauty & Wellness products!

Location: Fully Onsite in Irvine, CA

Job Type: Direct Permanent Hire

Schedule: Full-Time, Mon-Fri

Scope of the Role:

We are a full-service product experience firm redefining the standard in experience design through groundbreaking innovation, transformative creative, and a deeply studied approach to every detail. We are partnered with Fortune-500 brands and A-list celebrities in the Beauty, Health & Wellness space!

Responsibilities:

* Oversee and support all administrative duties in the office and ensure that the office is operating smoothly.
* Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
* Oversee day-to-day office activities as main point of contact in reception area, and keep management informed regularly via performance reports.
* Manage office supplies inventory and place orders as necesary.
* Perform receptionist duties: greet visitors, and answer and direct phone calls.
* Oversee and maintain office equipment for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested.
* Receive and sort incoming mail and deliveries and manage outgoing mail.
* Identify opportunities for process and office management improvements.
* Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, and doing research.
* Managed onboarding and orientations for new hires
* Processed required documentation forms - I9's, E-Verify, background checks
* Organize employee events and activities to enhance workplace culture.

Requirements:

* Bachelor's degree in business administration, communications, or a related field
* 2-5 years of work experience in an administrative/office management role
* Must have exceptional attention to detail.
* Strong organizational and time management skills, and ability to prioritize.
* Must be a self-starter and driven.
* Excellent communication and interpersonal skills
* Strong problem-solving skills and analytical abilities
* Must be proficient with Microsoft Office and Google products.
