Oak Hill School is seeking a passionate Athletic and Co-Curricular Programming Administrative Assistant for the 2024-2025 school year who is excited to support Oak Hill School’s mission, values and culture. In keeping with the mission of the school, the Oak Hill School athletic and co-curricular department strives to educate and invigorate through interscholastic athletic and co-curricular programming.
The Administrative Assistant works directly with the Director of Athletics and Co-Curricular Programs by providing administrative support to various aspects within the department. In addition to providing administrative support, the Athletic Administrative Assistant will also have opportunities to attend conferences with the Director of Athletics.
The Administrative Assistant will play an integral role in the growth and success of the Oak Hill School Athletic program.
This is a unique opportunity for someone with an interest in becoming an Athletic Director in the future, as you’ll gain exposure to valuable experiences in athletic administration.
KEY RESPONSIBILITIES
● Follow and enforce the OHS athletic policies and guidelines.
● Assist in providing support and serving as a point of contact for parents, students, visiting teams, and vendors.
● Updates interscholastic game schedules, athletic master calendar with games, practices, special events
● Work indoors and outdoors throughout the year to maintain all facilities in the athletics environment in a safe, efficient, ecological, and economical manner.
● Consistent night and weekend work during the school year will be required based on Athletic events/competitions and facility needs.
● Assist in all practice and game day setup and breakdown, inside the gymnasium, or outside at all fields and courts, as needed.
● Assist the Director of Athletics with the development and distribution of all communications, including website, group messaging software, and all social media accounts. Sends proper correspondence to families and coaches regarding missing forms/paperwork due to the athletic department.
● Serves as assistant game administrator/gym administrator during home events.
● Working knowledge and understanding of TSSAA and HVAC rules and procedures.
● Track evaluation due dates for non-faculty administrative staff, faculty coaches, and trainers.
● Assist the Director of Athletics in the purchasing of equipment, and inventory of uniforms, equipment, and concessions.
● Assist in the coordination, setup, and preparation of all athletic award programs and events
● Other duties, as assigned by the Director of Athletics.
EXPERIENCE AND QUALIFICATIONS
● A Bachelor’s degree is preferred, or an equivalent combination of education, training, and experience.
● A minimum of two years of experience in a school setting is preferred.
●Preferred: Working toward certifications from the National Interscholastic Athletic Administrators Association.
● Experience with Google Sheets, Google Slides, Google Docs
● Excellent organization and communication skills.
● Excellent attention to detail and ability to manage multiple complex tasks.
Compensation and Benefits
● This work often requires late night and weekend hours.
● This is a 10-month support staff role
