Boston Public Health Commission is Hiring an Administrative Assistant (Part Time) Near Boston, MA

The mission of the Boston Public Health Commission (BPHC) is to protect, preserve, and promote the health and well-being of all Boston residents, particularly the most vulnerable. The BPHC envisions a thriving Boston where all residents live healthy, fulfilling lives free of racism, poverty, violence, and other systems of oppression. The BPHC sets an expectation that all staff and leadership commit, individually and as part of the BPHC team, to hold ourselves accountable to establishing a culture of antiracism and advance racial equity and justice through each of our bureaus, programs, and offices.

PROGRAM/DEPARTMENT DESCRIPTION

The Office of Racial Equity and Community Engagement (ORECE) leads Boston

Public Health Commission's collective work of becoming an antiracist organization and operationalizing commitments laid out in the organization's Anti-Racism Policy. Specifically, ORECE works with internal and external stakeholders to eliminate the institutional and structural systems that create racial and ethnic health inequities and injustices.

This Part-time Administrative Assistant position reports to the Director of ORECE and will support the work of ORECE through administrative support.

DUTIES

* Working to help BPHC become an antiracist organization by meeting or exceeding the standards set by the BPHC Anti-Racism Policy.

* Provides direct administrative support for the ORECE Director and project support for the Office.

* Coordinates the ORECE calendar and arranges internal and external meetings. Sends meeting confirmation emails and calendar invites, and attaches relevant meeting materials, etc.

* Provides staff support for meetings including the dissemination of agendas and support materials, meeting minutes, and follow-up emails. Contacts relevant parties for status updates regarding the timely completion of deliverables.

* Monitors the health equity inbox; develop content for newsletters, reports, and presentations.

* Coordinates the planning and implementation of events such as advisory board meetings, community meetings, committee meetings, and more. Completes relevant data entry in a timely manner.

* Maintains ORECE's external webpage and drafts new material as needed; routinely updates internal intranet page with ORECE's resources, tools, etc.

* Supports procurement and contract processes such as filling out invoices, communicating with

vendors, etc.

* Maintains organized program records, reports, and files in the ORECE Sharepoint Folder.

* Works in a confidential capacity. Develops confidential materials at the direction of the ORECE Director.

* Acts as a resource and contributor for ORECE Special Projects.

* As an individual act compassionately with integrity and empathy, lead by example and be willing to learn new things.

* With others be a supportive team player, prioritize building and maintaining relationships, and work to maintain a respectful work environment.

* Perform other duties as required.
