General Responsibilities

 1. Completes bookkeeping and/or billing activities to support Aging and Disability Services Programs. 

2. Enters data as needed into required database(s). 

3. Prepares file records for incoming clients by pulling file folders, copying and organizing paperwork as needed. 

4. Other duties as assigned within the guidelines of this position.

Essential Functions

1. Provides operational support services to the programs. 

2. Enters data for funders into multiple databases as required by funding bodies. 

3. Enters data collected from Agency Volunteers into appropriate database in a timely manner. 

4. Enters all data from staff timesheets into the appropriate database in a timely manner. 

5. Completes monthly reporting of data to funding sources in collaboration with the ADRN Services Manager and Community Based Program Manager. 

6. Completes the billing process for fee for service Illinois Department on Aging cases.

7. Provides clerical support to the Money Management Program. 

8. Provides clerical support to the Adult Protective Services Program. 

9. Prepares files for quality reviews and for submission to the Department on Aging as necessary. 

10. Maintains data quality in program databases and spreadsheets. 

11. Completes bookkeeping activities as needed; follow up as necessary. 

12. Completes Performance and Quality Improvement activities and reporting as assigned. 

13. Attends scheduled staff meetings. 

14. Serves as a backup for the agency receptionist when needed. 

15. Must respect and protect client confidentiality. 

Requirements

  1. High school diploma or GED is required for this position. All degrees must come from a regionally accredited educational institution which has U.S. Department of Education approval.
  2. A minimum of 3-5 years of experience in office support, bookkeeping and data entry is required.
  3. Spanish speaking strongly preferred, but not required. 
  4. Must have ability to work independently and with great attention to detail. 
  5. Proficiency in the use of Microsoft Office applications including Outlook, Word, Excel and Teams.
  6. Strong verbal and written communications skills.
  7. Passage of complete background clearance.
  8. Must have an understanding of and appreciation of the Mission, Goals, Values and Philosophy of the Agency. 
  9. Catholic Charities, Diocese of Joliet, has adopted and follows the Codes of Ethics established by Catholic Charities USA, the National Association of Social Workers and the American Psychological Association. As an employee of the Agency you are expected to support these codes to the extent doing so is consistent with and allowed by applicable law.
  10. A valid driver’s license, reliable means of transportation and proof of liability insurance is required.
