We are currently seeking a Project Administrator for our Special Projects Group (SPG) who embodies our core values above. This person is responsible for assisting project teams with a variety of tasks in accordance with company standard operating procedures. The ideal candidate has at least 2 years of experience in a similar role, possesses a strong work ethic, and demonstrates exceptional communication skills. Duties and Responsibilities include, but are not limited to:

  • Setting up projects within Auburn Mechanical's ERP (currently Vista by Viewpoint).
  • Communicating job awards with field leadership by updating the company's Upcoming Jobs Log.
  • Procuring construction permits.
  • Assisting in the preparation and distribution of submittals, shop drawings, operating and maintenance manuals, and as-built drawings.
  • Assisting in the preparation and issuance of subcontracts and purchase orders.
  • Assisting in the completion of close-out documents.
  • Working with project teams to submit progress and final billings.
  • Assisting in the prequalification of subcontractors.
  • Supporting SOP training and facilitating as needed to ensure consistent work product.
  • Providing administrative support to the Engineering Department.
  • Assisting project teams with monthly project reviews.
  • Archiving project files electronically.
  • Developing positive relationships with internal and external customers, subcontractors, and vendors

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Team player with the ability to take direction from more than one Project Manager at a time
  • Ability to be highly organized in daily and long-term planning and execution, and to track and maintain complex schedules for multiple project tasks effectively
  • Excellent written and verbal communication skills
  • High commitment to customer service

Education/Experience

  • Bachelor’s degree or equivalent from a four-year college/university in Construction Management, Mechanical Engineering, Architecture or related field of study preferred. High school diploma or equivalent GED required.
  • Two or more years of related experience and/or training (mechanical systems and/or construction project management highly desired)
  • Or equivalent combination of education and experience
  • General knowledge of construction terminology and documents as gained with two or more years of related experience

Computer Skills

  • Proficiency with Microsoft Office Suite programs required (Outlook, Teams, Excel, Word, Project)
  • Vista by Viewpoint preferred

Certificates and Licenses

Valid Driver's License required with acceptable driving record.

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

While performing the duties of this job, the employee will work on the jobsite where the employee could frequently be exposed to moving mechanical parts and vibration. The employee is occasionally exposed to high, precarious places; fumes or airborne particles; toxic or caustic chemicals; outside weather conditions; and risk of electrical shock while in the field. The noise level in the work environment is usually moderate.

When not on a jobsite, the position is in a standard office environment with desktop and general office equipment and frequent phone calls. Noise level is moderate.

Employee must constantly reach with hands and fingers; extensive keyboarding is required. The employee is occasionally required to lift up to 35 lbs.

Travel, including occasional overnight stays, while rare, may be required. The employee must be able to safely drive an automobile to and from client sites.

Job Type: Full-time

Pay: $31.00 - $40.00 per hour
