What You'll Do

Reporting to the Senior Director of Grants and Advancement, the Grants & Contracts Financial Specialist at Saga Education plays a critical role in managing the financial aspects of all of Saga's philanthropic and government grants and contracts, ensuring compliance with funding requirements, and supporting the organization's mission through effective financial stewardship. This position requires strong financial acumen, attention to detail, an understanding of philanthropic strategy, and collaboration across teams.

Your responsibilities will include the following:

Philanthropic Grants Financial Management

  • Manage the financial aspects of Saga's philanthropic grants throughout the entire grant lifecycle, from proposal preparation to reporting, ensuring compliance with grant requirements, budget restrictions, and deadlines
  • Assist the Grants team by preparing grant proposal budgets and providing financial expertise and input to enhance competitiveness and alignment with funders' priorities and philanthropic strategies
  • Collaborate with the Finance team on post-award account set-up to advise on budget alignment and eliminate redundancies among funded grant budgets
  • Develop and monitor budgets for grant-funded programs, working closely with program managers (as necessary) and the Finance team to ensure accuracy and alignment with grant budgets and organizational goals
  • Prepare and submit timely and accurate financial reports to grantors, effectively communicating financial performance, including expenditures, budget to actuals, variances, and projections

State and Federal Government Grants Financial Management

  • Manage Saga's state and federal government grants financial duties throughout the grants lifecycle
  • Prepares state and government grant budgets, budget revisions, and no-cost extensions with an understanding of cost principles and allowable costs for each granting agency
  • Gather supporting documents for monthly and quarterly federal grant invoicing, including but not limited to AmeriCorps, National Science Foundation, and OSSE funding, as well as invoicing of indirect costs
  • Manage and monitor budgets and financial reporting and prepare invoices for state and federal grant reimbursements, including the tracking and certification of matching funds
  • Lead as the subject matter expert on state and federal grant post-award financial compliance by engaging with external stakeholders, leading during federal audits, and providing thought partnership to Senior Leaders as it relates to the execution and management of the AmeriCorps Direct Service program and other federal grant programs
  • Operate through a risk management lens by identifying and mitigating financial risks associated with grant-funded activities, proactively addressing issues, and implementing risk mitigation strategies in collaboration with the Senior Director of Grants and Advancement, as needed
  • Assist the CFO and Finance team with applying for a federal indirect cost rate

District Contract Management

  • Oversee Saga's district contract administration and product user contracts and monitor adherence to district requirements
  • Collaborate with Saga leaders during district contract acquisition to ensure a clean handoff of contracts, that contracts are aligned, and to eliminate conflicts among disparate contracts
  • Serve as the point of contact for all district contracts post-contract negotiation to execute timely invoicing
  • Gather supporting documents for monthly and quarterly contract invoicing.
  • Prepare invoices for district and other contracts for services rendered by Saga
  • Correspond with external stakeholders regarding invoicing, payment receipt, or purchase orders
  • Support the development and implementation of Saga's contract management platform in Salesforce and will use it to maintain information on district and product user contracts

Other Responsibilities

  • Responsible for AR collections
  • Provides grant-related documentation during Saga's annual financial audit (e.g., schedule of expenditures of federal awards, grant and contract agreements, receivable listing)
  • Provides support as needed in managing and tracking other forms of philanthropic funding
  • Enters grant-related financial information in the Salesforce platform
  • Collaborate with the Finance team on post-award account set-up to advise on budget alignment and eliminate redundancies among funded grant budgets

What You Bring

  • Bachelor's degree in Finance, Accounting, Business Administration, or related field.
  • 3 years of experience in grant accounting, financial management, or related field, preferably in a nonprofit or educational setting.
  • Understanding of accounting concepts, including generally accepted accounting principles (GAAP), Financial Accounting Standards Board (FASB) accounting principles for nonprofits, fund accounting, restricted versus unrestricted funds, and the unique financial reporting needs of nonprofits.
  • Knowledge of Federal OMB Circular A-133, the Super Circular, and Uniform Guidance 2 CFR 200 and applies this knowledge to grant financial management.
  • Knowledge of procurement and related federally mandated programs and application of this knowledge to grant financial management.
  • Proficiency in financial software and tools (e.g., Sage Intacct, Google Sheets, Excel) and the ability to learn new systems quickly.
