Job Title: Receptionist/Service Coordinator
Position Summary:
Provide secretarial support to the Site Director and family center. Clerical duties would include but are not limited to typing, filing, answering phones and general office work. This position requires an ability to work with children from birth to age five and a general awareness of child development. This position is accountable for providing childcare during activities at the Family Center and to provide other related duties as deemed necessary by the Family Center Site Director.
Service Coordinator will be responsible to serve as the primary contact between the families at the center and various county and community agencies. Responsible for intakes, individual assessments, coordination, and monitoring of the delivery of service coordination to high-needs families including case assessments and management, referrals/coordination to social service, medical, and government agencies (etc.) to promote long term self-sufficiency. This position also will identify potential resources to enhance educational, social, and economic opportunities for families. The incumbent will be responsible for bringing resources to the center that will benefit families that need specialized services. The position also requires the experience and knowledge of the community and key people and agencies in the community.
Duties and Responsibilities:
Receptionist:
1. Working knowledge of office machines.
2. Experience with taking phone messages.
3. Tracking drop in families and assisting them with their requests.
4. Checking and stocking supplies by determining if there are adequate supplies for upcoming activities and events (paper, food, and books), pulling additional materials from storage room, and list supplies that need purchased or re-stocked.
5. Attends In Services, workshops, training sessions, staff meetings, and other appropriate meetings. Attend meetings offered by Office of Child Development as related to childcare.
6. Other duties as assigned by Site Director.
Service Coordinator:
1. Provide services to all families of the community regardless of age or family dynamic
2. Crisis Intervention
3. Coordination of services for families
4. Provide resources/referrals for families
5. Establish and maintain relationships with community providers
6. Provide concrete goods to families: food, diapers, formula, etc
7. Assist with employment/job readiness
8. Housing assistance
9. Advocacy for families: Accompany to appointments/court
10. Assist with 412 Food Rescue
11. Enter all contact/work done with families into Synergy
12. Evening and weekend availability.
13. Other duties as assigned by Site Director.
Hello Baby:
1. Contact Hello Baby families
2. Deliver Hello Baby Bags
3. Follow up with Hello Baby families
4. Provide resources/referrals to Hello Baby Families
5. Enter Hello Baby data in Synergy
6. Connect Hello Baby Families to home visiting if interested.
Diaper Bank: Oversee Diaper Bank:
1. Maintain documentation: Folder with In-take form
2. Enter documentation into Diaper bank monthly
3. Order diapers monthly
4. Pick up diapers monthly
Community Outreach:
1. Attend Community events and meetings.
2. Partner and develop working relationships with community programs and agencies.
Qualifications:
1. High School diploma or GED required.
2. Two years' related experience required.
3. Basic level expertise with Microsoft Office products.
4. Strong communication, interpersonal skills, organizational and recordkeeping skills.
5. Excellent organizational skills, initiative, and ability to work with limited supervision.
6. Ability to prioritize tasks, meet deadlines, and work under pressure.
7. Ability to be flexible and perform other tasks as assigned.
8. Participates as part of a team in center related activities, planning, and preparation .
9. Ability to comply with AIU policies and procedures.
