Scope of Position:

The primary responsibility of this role is to aid HLM's Project Management team in the successful onboarding of clients' website and digital projects. To do this, you will work closely with clients and the internal team throughout the project lifecycle. You will be involved in the project intake process, setting up new projects, contacting clients to arrange meetings, collecting assets, and offering support. This role requires an enthusiastic, organized, self-starter who has a passion for serving the needs of clients and project management. The goal of this position is to train and develop into a full-time Project Manager.

The success of this role will be based on your ability to stay organized while supporting multiple project managers and working directly with clients.

Essential Duties/Responsibilities:

  • Provide daily administrative support to the Project Management team
  • Manage internal supporting projects and entry-level website and digital projects
  • Keep Project Managers informed of project tasks, statuses, potential risks and/or any issues that may impact projects or client relations
  • Prioritize and manage multiple concurrent tasks/projects in a fast-paced, deadline-driven environment while delivering high-quality results
  • Understand the project management process for varying project types
  • Organize, attend, and participate in client and team meetings
  • Document and follow up on important actions and decisions from meetings
  • Review client requests, identifying questions, and clarifying with the client when necessary, before organizing for the team to execute
  • Review deliverables prepared by the internal team before passing to the client to ensure quality and that the client's needs are met.
  • Undertake project tasks as required
  • Ensure project deadlines are met
  • Respond promptly to team and client inquiries and requests
  • Have a comprehensive understanding of project scopes, goals, and deadlines
  • Oversee project work spanning multiple disciplines
  • Observe and learn the key responsibilities of the Project Managers to be able to take on your own project load

Required Skills/Abilities:

  • 1 year of experience in project coordinating or project management
  • Excellent client-facing and internal communication skills, both written and verbal
  • Outgoing and personable, able to quickly and professionally build relationships
  • Positive, energetic, and eager to learn in a fast-paced environment
  • Exceptional note-taking abilities during client and internal meetings
  • Detail-oriented
  • Strong time management and organizational skills to maintain workflow and meet deadlines - A MUST!
  • Passionate about learning and finding creative solutions to problems
  • Strong work ethic with a "get the job done" attitude
  • Self-motivated and able to work in a remote environment - when necessary
  • Web-savvy with a general understanding of digital marketing
  • Works well individually and in a team setting

Education/Experience:

  • Bachelor's Degree (B.S./B.A.) Business, Marketing, or Management, or related field; one to two years of experience; or a combination of education and experience, required.
  • Experience with WordPress is preferred.
  • Experience with collaborative team platforms such as Teamwork Projects, Trello, and JIRA is a plus.
  • Experience with Google Analytics is a plus!

Work Conditions: This position will perform duties under normal office working conditions, including the prolonged use of a computer, office equipment, and working in close proximity to others. Essential physical requirements may include standing, walking, stooping, typing, and lifting up to 25lbs.
