About the Role:

As a Proposal Coordinator for our Business Development Team, you will manage all administrative aspects of proposal development. This includes ensuring the security and integrity of all proposal documentation, coordinating the review process, and assisting in the production of the final proposal. You will support the Proposal Manager from RFP release to contract award, assist Capture Managers, and collaborate with staff across the company to develop and submit winning proposals.

Key Responsibilities include (but are not limited to):

  • Support the Proposal Manager in preparing and maintaining the documentation for managing the overall proposal, especially the Annotated Outline, Schedule, and point of contact (POC) Matrix, to include any teammates.
  • Sending data calls to teammates and internal POCs.
  • Assisting in preparing notes/agendas/documentation for stand-up meetings, color team reviews, and internal pricing/staffing/solutioning sessions.
  • Coordinate events and send invitations using Slack, Google Calendar, and/or MS Teams, as necessary.
  • Using Google Drive, maintain proposal library, past performance repository, and kudos container; control access to the proposal working files and competition-sensitive or proprietary materials; and maintain the electronic copy file structure and archiving process to keep track of all proposal related documentation.
  • Manage the production of draft and final text and graphics for proposals by coordinating writers/graphic designers in alignment with color team reviews/schedule.
  • Support Proposal Manager in developing review team evaluation packages and then record, disseminate, and track accepted recommendations.
  • Perform editorial review including formatting, spell/grammar/punctuation check using editing and proofreading apps, specifically AI-enabled software.
  • Participates in reviews to ensure proposal compliance with the RFP, coordinating and participating in comprehensive compliance reviews from RFP release through the various color teams, and award.
  • Under direction, coordinates Past Performance inputs and Resumes, as required, with the ability to act as lead for these sections of a proposal.
  • Tracks past performance questionnaires, when required.
  • May assist Capture Managers with key personnel searching and job postings
  • Support the development of proposal related training for internal use.
  • Support Proposal Manager and/or Capture Manager with data entry for Insightly.
  • Participate in any internal corporate presentations by the Business Development Team.

Location:

You will work remotely as part of a closely-knit and dynamic team.

Required Experience/Skills: 

  • Bachelor's degree or equivalent professional experience 
  • 1-2 years of experience in government contracting, ideally in a proposal management role within the professional services sector.
  • Proficient in Microsoft Office Suite.
  • Ability to produce compliant documents according to customer requirements.
  • Familiarity with federal procurement, government contracts, and regulations, ideally in a proposal management role within the services sector
  • Ability to read, write, and speak English at the level of a native speaker.

Preferred Experience/Skills:

  • Ability to use MS 365, Slack, Google Suite, MS Teams, and Adobe Acrobat.
  • Ability to easily learn additional software/apps including Insightly and GovWin.
  • Previous use of Salesforce is beneficial, but not required.
