Position Overview

The Academic Services Program Coordinator in the Lt. Gen. William K. Jones Military-Affiliated Student Center (MASC) assists Military-Affiliated students with successful transitions and overall academic success;

partners with on- and off-campus entities to coordinate relevant programming for students; and provides expertise related to Military-Affiliated student success that aligns with institutional / unit / division retention initiatives.

This position reports to the MASC Program Director.

This position is required to deliver timely, student-centric service to undergraduate, graduate, and online learners at KU.

They are required to stay informed of local, regional, and national trends related to military student services and benefits to serve as a resource to students.

This role must have knowledge of and experience working with Military-Affiliated populations and the ability to execute creative and innovative solutions to deliver superior student service.

The MASC serves as KU’s centralized resource for Military-Affiliated students as they move to, through and beyond the university.

The University of Kansas averages 1,600 Military-Affiliated students each year with approximately 800 using VA benefits.

The MASC, along with the Academic Success Operations & Technology team, KU at Leavenworth Student Support Services, Academic Success Navigators, and Hawk Link, is part of Academic Success a division of Academic Affairs at KU.

Job Description

40% Student Services & Communications

  • Assist prospective and incoming students / families regarding the admission and enrollment process, including navigating VA / TA and other military-related education benefits and locating relevant academic and student support programs, career services, etc.
  • Advise students on maximizing their VA / TA benefits as they pursue their academic and post-college paths.
  • Document conversations / student service notes within approved unit systems to ensure quality assurance & unification of student messaging and traffic data reporting.
  • Determines the correct department for routing or scheduling that meets the students’ needs : financial aid, account services, accommodations, etc.
  • Projects a positive, friendly, welcoming experience, particularly when the issue is not easily resolved or requires lengthy explanation.
  • Create and plan MASC communication strategies; manage MASC web site, listserv and social media.
  • Understands and adheres to FERPA guidelines, KU policies and other institutional compliance expectations.

40% Student Programming & MASC Office Operations

  • Supervise the VA work study students for the MASC Office.
  • Coordinate efforts to hire, train, schedule, advise and evaluate all VA Work Study and student employees.
  • Responsible for all MASC front desk coverage, training, and center operations.
  • Assist with ordering and purchasing supplies for the center and programs.
  • Coordinate with the VA Certifying Official to assure that student workers are trained in their contributions to that effort and are informed of student processes and procedures for proper guidance and instructions.
  • Assist VA Certifying Official during peak periods of student service as needed.

15% Collaboration, Planning & Assessment

  • Attend relevant unit meetings.
  • Participate in department and campus meetings and trainings.
  • Participate in relevant professional development annually.
  • Serve on veteran- / military-related boards and committees. Examples include : Serve on the Military-Affiliated scholarship review committeeServe as a member of the KU Veterans Alumni Network Executive Council
  • Help strategically engage on- and off-campus entities and develop strong partnerships to provide comprehensive support services for Military-Affiliated students.
  • Support the department’s strategic efforts, which may include program goals, initiatives, implementation, assessment, and reporting.
  • Support the department’s program assessment efforts.
  • Assist with the university’s response to external military- and veteran-friendly surveys.

5% Other duties as assigned.

Required Qualifications

  • Master's Degree OR Bachelor's degree with one year of relevant experience.
  • One year of prior experience working with veteran or Military-Affiliated populations inside or outside of an educational context.
  • Experience in professional or student staff hiring, supervision, training, or evaluation.
  • Strong written communication skills as demonstrated by application materials.

Preferred Qualifications

  • Master’s degree in a relevant discipline, higher education administration, counseling, mass communications.
  • Experience or familiarity with military-related education benefits, VA or TA benefits.
  • Experience working with internal and external / community stakeholders to bolster programs and resources.
  • Experience with higher education student information systems.
  • Experience with Microsoft Office products and other relevant software, to include database and web-based programs.
