Location: Phoenix, AZ

Pay Range: $25 to $28 per hour

Overview

In this role, you will play a critical role for the company and will work alongside other professionals within the team and other departments. You will be responsible for overall office activities. The position is also responsible for directing and coordinating office services and related activities. This position will include various duties specific to the location where the work is performed. The position will be responsible for updating management on a regular basis to maintain efficiency.

Responsibilities

Below is an overview of the duties and responsibilities you would take on in this role:

  • Supervise and coordinate overall administrative activities for the Administrative Department
  • Assigned specific duties which may include DMV Administration for bus and RV, authorizing bus and RV shipments, some Sales Coordinator duties, Sales rebates, Warranty registration, Secondary contact for Financing (Priority One), Receptionist for incoming calls to sales office, Maintain Petty Cash, Assist with facility licensing and permits. These duties will vary by location.
  • Assist with Human Resource functions to include but not limited to; advertising for applicants, interviewing applicants, and processing requirements for new hires as assigned
  • Maintain office services by managing office operations through established procedures and outside contractors
  • Review timecards of entire direct staff, assist HR with all paperwork when applicable
  • Manage telephone, postage, and office IT services
  • Maintain and institute filing systems, both paper and electronic
  • Approve supply requisitions
  • Define procedures for retention, protection, retrieval, and disposal of records
  • Complete operational requirements by scheduling and assigning employees for special projects
  • Keep management informed by reviewing and analyzing special reports; summarizing information; identifying issues that affect operational readiness
  • Contribute to team effort by accomplishing undefined task as needed
  • Other duties as assigned

Minimum Job Requirements:

  • High School Diploma or equivalent and two years general office experience
  • Willingness and ability to work as a team player
  • Strong verbal and written communication skills
  • Good attention to detail
  • General knowledge of office practices and procedures Self-starter, highly motivated and exhibits great initiative

  • Strong time management skills
  • Computer literate (Word, Excel) experience with common dealership software

Physical Requirements

  • Work may be performed both in an office environment as well as an outside area
  • May be required to do frequent kneeling, stooping, squatting, crawling and climbing to perform multiple tasks of position
  • Must have good manual dexterity
