Position Summary / Scope of Responsibility:

This HR Recruiting and Onboarding Specialist role will have a primary focus in Recruitment and Onboarding in collaboration with and under the direction of the VP of Human Resources. As the Recruiting and Onboarding Specialist, you will work with site administrators to assist them in sourcing talent and taking responsibility for the full lifecycle of onboarding.

Primary Responsibilities:

The incumbent may be asked to perform job-related tasks other than those specifically stated in this description. The duties and responsibilities of the position are to be carried out in a manner that is consistent with the Mission, Core Values and Operating Principles of MedVanta.

  • Leads and develops all phases of the recruitment process.
  • Collaborates with site administrators to identify and draft detailed and accurate job descriptions.
  • Identifies and implements efficient and effective recruiting methods and strategies based on the available role, industry standards, and the needs of the organization.
  • Leads job posting and advertisement processes via HRIS, really, Linked In, and other job sourcing sites. Attends college career fairs and other job fairs both virtually and in-person.
  • Screens applications and selects qualified applicants.
  • Schedules interviews; development of interview questions.
  • Oversees the interview process, conducting interviews with managers, directors, and other stakeholders.
  • Crafts and sends comprehensive emails to new hires with information related to the organization and position (e.g., work schedules, parking options, dress code etc.)
  • Collaborates with the hiring manager and/or other human resource staff during the offer process, identifying and recommending salary ranges, incentives, start dates, and other pertinent details.
  • Prepares and distributes offer letters and/or coordinates with Legal when employee agreements (EA) are needed.
  • Coordinates and oversees the successful completion of all pre-employment activities including background checks, OIG checks, Licensure verifications, reference checks, and drug screenings.
  • Works collaboratively with MedVanta’s IT department to ensure accurate set up of new hire email, equipment, and security access.
  • Actively engages, reviews, and responds to all HR related tickets in the IT ticketing platform.
  • Works with MedVanta’s HRIS to ensure and perform accurate system maintenance in support of human resources data management, reporting, benefits administration, compensation administration, and all other applicable human resources functionalities within the HRIS.
  • Receives and responds to day-to-day hiring and onboarding inquiries from hiring managers and employees.
  • Resolves and responds to queries and requests in a timely manner.
  • Drafts and collaboratively develops employee communications as it relates to recruiting and onboarding.
  • Maintains and ensures compliance with applicable equal employment opportunity (EEO) and related employment laws and regulations. Takes the lead on annual EEO-1 reporting.
  • Audits data and creates employee electronic files in internal HR systems; assisting with the coordination, preparation, and distribution of employee documentation, if and as needed.
  • Consistently follows up with site administrators to ensure the smooth onboarding of their employees.
  • Completes and gathers all pre and post-hire documentation for all new employees including I-9 verifications. Informing new hires of their initial tasks and ensuring completion (e.g., activation of accounts and programs to install)
  • Participates in other projects as assigned, utilizing project management best practice tools to ensure success.
  • Serves as the primary point of contact for hiring managers and newly hired employees.
  • Provides reporting and project updates to team lead and/or senior management.
  • Prioritizes and manages workload to meet critical deadlines.
  • Identifies innovative and creative new ways to secure and onboard new employees/reach a more scalable and measurable onboarding experience, targeting the design of a new onboarding experience.
  • All other duties as assigned.

Reporting Relationship:

The HR Recuriting and Onboarding Specialist reports directly to the Vice President of Human Resources. The role currently does not have any direct reports.

Required Education and Experience:

  • Bachelor’s degree in, business administration, human resources or related field is required.
  • At least 2 years of recruitment and onboarding experience is required, ideally in a healthcare environment.
  • Experience with UKG is highly desired.
  • Basic knowledge of HR principles is required.
  • SHRM or HRCI certification is a plus.
  • Proficiency with the Microsoft Office suite of products is required.

  • Ability to effectively create and conduct presentations to small and large groups.
  • Must be able to read, write, speak, understand, and communicate in the English language.
  • Exudes professionalism in presentation.

Physical Demands:

  • Must be able to sit for long periods of time and lift up to 30 pounds.
  • Must be able to use appropriate body mechanics techniques when performing front desk duties.
  • Requires frequent bending, reaching, repetitive hand movements, standing, walking, squatting, and sitting.
  • Adequate hearing to perform duties in person and over telephone.
  • Must be able to communicate clearly to patients in person and over the telephone.
