Rossmoor, an adult community located in Monroe Township, Middlesex County, New Jersey is seeking a full-time Accounts Receivable Specialist.

The Rossmoor Condominium Association Inc. (RCAI) is the Primary Association whose responsibilities include the operation and maintenance of community facilities/amenities. It is the provider of various shared services including Financial Services for the eighteen (18) individually incorporated sub-associations consisting of fifteen (15) Condominium and three (3) Co-operative Associations. Together there are 2,303 homes with a population of approximately 3,500 residents.

Financial Services are provided in-house through our four-person financial team consisting of the Comptroller, an Accounts Payable Clerk, Accounts Receivable Clerk, and a Bookkeeper.

Job Description

• Review incoming mail, email through Outlook, and respond accordingly.
• Post monthly fees for eighteen corporations using property management software.
• Prepare monthly ACH file for upload to bank using Excel.
• Apply payments received via remote bank scanner and ACH.
• Prepare monthly statements of open receivables for mailing.
• Print and distribute monthly delinquency reports.
• Communicate with collections attorney when necessary.
• Distribute legal status collection report.
• Reconcile bank statements for both operating and money market accounts for 18 corporations.
• Electronic bank transfers and journal entries for same
• Bi-weekly payroll with union reporting and journal entries.
• Monthly payroll journal entries & reporting to Controller
• Maintain records for sick time, personal time, and vacation.
• Assist in preparation of budget for new year.
• Create order files for annual payment coupon order from new budget.
• Create mail merge files for annual ACH mailing from new budget.
• Annual Co-op property tax letter mailing
• Annual 1099 NEC income statement preparation and filing for vendors.
• Respond to inquiries regarding payments.

Job Requirements

• Proven bookkeeping experience.
• Excellent verbal and written skills
• Associate’s degree, preferred.
• 3-5 years’ experience in community association accounting preferred.
• Proficient in Microsoft Word and Excel
• Computerized payroll experience preferred.
• Solid understanding of basic bookkeeping and accounting principles
• Proven ability to calculate, post and manage accounting figures and financial records.
• Strong data entry skills.
• High degree of accuracy, confidentiality, and attention to detail.
• Knowledge of TOPS accounting software preferred.

Job Type: Full-time

Pay: $30.00 - $34.00 per hour

Expected hours: 37.5 per week
