Curtis Institute of Music is Hiring an Assistant to the Provost Near Philadelphia, PA

Job title: Assistant to the Provost

Reports to: Provost

Department: Provost's Office

Status: Full-time; Permanent; Exempt

The Curtis Institute of Music seeks a highly organized, proactive, and professional Assistant to the Provost to provide comprehensive administrative support to the Provost. The ideal candidate will be responsible for managing the Provost's schedule, facilitating communication, and assisting in various administrative tasks to ensure the efficient functioning of the Provost's office. The Assistant to the Provost is the principal liaison between the Provost and a broad array of constituencies, including staff, faculty, students, parents, alumni, and trustees, as well as leaders from partner organizations. The Assistant to the Provost also works in collaboration with other members of the Provost’s Office, contributing to special projects as directed.

Essential Functions:

Key Responsibilities 

  • Calendar management: efficiently manage the Provost's schedule, coordinating appointments, meetings, and travel arrangements to ensure optimal time management.
  • Communication coordination: prioritize and handle the Provost's correspondence, emails, and inquiries, ensuring timely responses and proper follow-ups.
  • Document preparation: prepare and organize documents, reports, presentations, and meeting materials for the Provost's review, ensuring accuracy and attention to detail.
  • Stakeholder liaison: serve as a liaison between the Provost's office and internal/external stakeholders, including faculty, staff, students, board members, and external partners.
  • Meeting support: assist in preparing agendas, recording meeting minutes, and following up on action items for meetings chaired or attended by the Provost.
  • Confidentiality management: manage confidential information and sensitive documents with the utmost discretion and professionalism.
  • Special projects: undertake special projects, research, or assignments as assigned by the Provost, demonstrating adaptability and efficiency.
  • Event coordination: coordinate logistics for events hosted or attended by the Provost, ensuring seamless execution and follow-through.
  • Support initiatives: collaborate with other administrative staff and departments to support initiatives led by the Provost.
  • Other duties as assigned.

Preferred Qualifications

  • Bachelor's degree or equivalent experience in an administrative role, preferably in higher education, the arts, or a similar setting.
  • Proven experience in executive support with exceptional organizational and time-management skills.
  • Excellent written and verbal communication skills, with a high level of professionalism and attention to detail.
  • Strong interpersonal skills and the ability to work effectively with diverse individuals and groups, as well as a deep commitment to issues of diversity, equity, and inclusion.
  • Discretion and ability to handle confidential information with integrity and confidentiality.
  • Adaptability, flexibility, accountability, and a proactive approach to problem-solving.
  • Interest in and appreciation for the arts, classical music, and music education is desirable.

Working Conditions and Physical Demands:

  • This position is located in Philadelphia, PA, the ability to maintain an in-person schedule is required although some hybrid flexibility may be available.
  • Exertional requirements are that of a routine office environment.
  • Some night and weekend hours may be required depending upon scheduled events.
  • Visa sponsorship is not available for this position. Applicants must be authorized to work in the United States for any employer at the time of hire.
  • COVID-19 vaccination is a requirement for all positions at the Curtis Institute of Music and all new hires are expected to be fully vaccinated before beginning work.

Compensation and Benefits:

  • $65,000 gross annually salary
