SUMMARY:
Provides administrative and organizational support for the Equipment Manager and Equipment Department in support of Dredging, Marine Construction, Materials Divisions and Fabrication Shop. Assist Equipment Manager as directed to implement Equipment Department objectives and strategies for the Company. Provides administrative support to Equipment Manager. Assists with document & financial reports throughout month and collaborates with month end closings & Capital & R/M Project cost reporting.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Assist in the compilation of data as it pertains to SOQ program, equipment reports and various analyses of equipment cost, utilization and development. Assist in preparing equipment department monthly reports, Assist in G/L to equipment report reconciliation, and miscellaneous general accounting functions. Administration and maintenance of asset schedules, disposition schedules, repair & maintenance & capital repair and insurance schedules.
  • Collaborate with Accounting and Purchasing to maintain departmental compliance in requisitions, documentation and invoicing with emphasis on smooth month end closings.
  • Provide Payroll entry to all Equipment Department personnel through Vista and maintain man- power reports.
  • Perform Administrative Duties to maintain an effective equipment program within department policy. Help in implementation of Equipment Department decisions.
  • Acts as the first point of contact for callers and visitors to the Equipment Department. Contacts telephone service provider for service requests, repair and voice-mail maintenance.
  • Responsible for collecting outgoing and retrieving incoming mail then sort and distribute to appropriate individuals at Fabrication shop, Oly Yard and 160 River Road. Send and receive faxes and distribute to appropriate personnel. Coordinates and tracks overnight shipments.
  • Assist Equipment Analyst with processing timecards, entering employee and equipment time into Vista. Maintain Equipment Utilization in Vista. Maintains departmental personnel files and records.
  • Assist with the compilation of data as it pertains to Fabrication facility billings, back charges to clients and/or vendors for equipment repairs/damage.
  • Implement and enforce department protocols, policies and governances developed with Equipment Manager including but not limited to regarding purchasing policies, safety, payroll, equipment related reporting from Superintendents and Master Mechanics as required to maintain a compliant, efficient and functional Equipment Department.
  • Responsible for computer work in Excel, Word, Outlook, Project, Vista, organizing files, labeling, copying, setup of blueprints, files, records and other documents.
  • Assist in developing and distributing mass mailers, flyers and other marketing media for Dutra Fabrication facility. Assist Equipment manager in developing marketing strategies for Dutra Fabrication to grow client base.
  • Assist with special projects and studies and reports as directed.
  • Coordinates travel arrangements for department staff as required for job related travel.
  • Assist in the development of budgets for major repair, maintenance and capital projects including variance reporting on budget versus actual costs. This requires intermediate accounting skills and ability to perform analytical studies of costs.
  • Assist with preparation of presentations, meetings and training with regards to Equipment Department. Prepare necessary presentations for outside agencies or customers regarding the Equipment Department using PowerPoint and other Medias.
  • Assist with maintaining all regulatory related documents and files for marine vessels and land-based equipment including drawings, pictures, on-vessel documents, permits, invoices for costs and improvements as well as other regulatory required documents.
  • Provide day-to-day support to Equipment Manager, Equipment Superintendent, Master Mechanics as directed by Equipment Manager to facilitate department objectives and goals.
  • Provide coding, oversight and submittal of Equipment Department payrolls and secures proper authorizations.
  • Prepare spreadsheets, writes letters and creates invoicing and logs for all Equipment Department cost analysis, correspondences and invoicing.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Education/Experience: Bachelor's degree (B. A. or B.S.) from four-year college or three years construction or safety oversight experience; OSHA 30 Hour course.
  • Language Ability: strong written and verbal communication skills in order to effectively present information and respond to questions from managers, clients and customers.
  • Reasoning Ability: ability to solve practical problems and interpret a variety of instructions given in written, oral, diagram or schedule form.
  • Computer Skills: to perform this job successfully, an individual should have knowledge of and experience with Microsoft Office, Word and Excel.
  • Physical Presence: Regular and predictable physical presence at Equipment Department office is an essential qualification for this position due to the importance of the team-related and project-related duties, the aggressive timeframes under which the employee will operate, and the need for face-to-face interaction with the Equipment Manager in order to properly perform job-related functions.
  • Current valid Driver’s License required.
  • Ability to travel as needed.
